Job Overview
We are seeking a highly organised and customer-focused Administrator to support our residential solar PV installation business. This role is crucial in ensuring the seamless scheduling and coordination of installation teams, customer appointments, and project documentation. The successful candidate will have strong stakeholder management and customer service skills, along with exceptional administrative capabilities to handle the end-to-end process from pre-installation to post-installation closeout.

Duties

  • Scheduling and Coordination
  • Schedule installation and electrical teams for solar PV projects whilst managing and updating the scheduling system to reflect real-time changes and availability.
  • Coordinate with customers to confirm installation dates and ensure smooth communication throughout the install process.
  • Liase with appropriate teams on stock control.
  • Take phone messages – addressing these promptly and liasing with the appropriate team member to ensure follow ups.
  • Documentation Management
  • Prepare and distribute all required pre-installation and post-installation documentation, including permits, certifications, and warranties.
  • Maintain system database and keep accurate records of project documentation.
  • Liaise with internal teams to ensure compliance with regulatory and company standards.
  • Customer Service
  • Act as a point of contact for customers throughout the installation process.
  • Handle enquiries, provide updates, and resolve scheduling or documentation issues promptly.
  • Ensure customer satisfaction by delivering a professional and responsive service.
  • Post-Installation Closeout
  • Verify that all installation paperwork is completed and filed appropriately.
  • Coordinate with the finance department to raise invoices and work on outstanding balances.
  • Address any post-installation queries from customers, ensuring a positive experience.
  • Stakeholder Management
  • Collaborate with internal teams, including project managers, technical staff, and sales teams, to ensure project milestones are met.
  • Maintain communication with external bodies, such as suppliers and other industry contacts.
  • Communicate effectively with all stakeholders to address challenges and provide timely solutions.

Experience

  • Previous experience in an administrative role, preferably within the renewable energy, construction, or similar industry.
  • Familiarity with scheduling processes and systems in a dynamic operational environment.
  • Knowledge of solar PV installations or a willingness to learn industry-specific requirements.
