Private Practice Coordinator / Medical Secretary

About Us

We are a growing private medical practice based in St John's Wood, dedicated to providing a high standard of personalised patient care within a calm, professional, and discreet environment.

As we continue to develop and prepare for the implementation of a new clinic management system, we are looking for an organised, reliable, and proactive individual to join our team during an exciting period of growth and transition.

This role would suit someone who enjoys working with people, takes pride in delivering exceptional customer service, and thrives in a professional private practice environment.

The Role

The Practice Coordinator / Medical Secretary plays a key role in ensuring the smooth day-to-day running of the practice. You will be responsible for supporting patients, clinicians, and the wider team through efficient administration, appointment coordination, communication, and operational support.

Key Responsibilities

  • Managing patient appointments and diary coordination
  • Answering incoming calls and responding to patient enquiries professionally and efficiently
  • Managing practice emails and administrative correspondence
  • Welcoming patients and helping create a calm, friendly, and professional environment
  • Supporting invoicing, payment collection, insurance receipts, and administrative billing processes
  • Assisting with referrals, letters, reports, and patient documentation
  • Maintaining accurate patient records within the practice management system
  • Liaising with patients, consultants, hospitals, laboratories, and insurance companies as required
  • Supporting the smooth day-to-day operation of the practice
  • Working closely with clinicians and the Operations Team
  • Maintaining confidentiality and handling sensitive information with discretion

What We're Looking For

  • A genuine passion for helping people and providing outstanding customer service
  • Previous experience within private healthcare, hospitality, concierge, luxury retail, aviation, or similar customer-focused environments preferred
  • Strong organisational skills and excellent attention to detail
  • Excellent written and verbal communication skills
  • A reliable, punctual, and professional approach to work
  • Ability to adapt to changing priorities and operational requirements
  • Confidence working independently and taking initiative
  • Comfortable using technology and learning new systems quickly
  • Experience with Semble or similar clinic management systems preferred, or a willingness and ability to learn rapidly
  • Understanding of confidentiality and GDPR requirements
  • Ability to maintain a calm and professional manner within a discreet private practice environment
  • Living within reasonable commuting distance of St John's Wood or North West London is preferred

Working Arrangements

We are open to applications from candidates seeking either full-time employment or part-time working arrangements.

Potential shift patterns may include:

  • Morning Shift: 8:30am – 2:00pm
  • Afternoon Shift: 2:00pm – 7:00pm

Additional hours may become available as the practice grows.
