Full job description

We are seeking an experienced GP Practice Administrator to join our friendly, supportive practice team. This role is ideal for someone who is confident working in a fast‑paced primary care environment and has previous experience in a GP surgery. You will provide high‑quality administrative and secretarial support to clinicians, ensuring smooth day‑to‑day operations and excellent patient care.

The role includes managing referrals, processing clinical correspondence, supporting private work requests, and carrying out a wide range of general practice administrative duties. You will be a key part of the practice’s administrative hub, working closely with GPs, nurses, and the wider team.

Key Responsibilities

  • Referral Management — Preparing, checking, and submitting NHS and private referrals; ensuring all required clinical information is included; tracking outcomes and updating patient records.
  • Secretarial Support — Providing typing support for clinicians, drafting letters, managing dictations, and handling queries from hospitals and external providers.
  • Hospital Correspondence Processing — Reviewing incoming hospital letters, coding clinical information accurately, and ensuring timely allocation to the correct clinician.
  • Private Work Administration — Managing requests for private letters, insurance reports, medicals, and forms; liaising with patients and external organisations; preparing documentation for GP approval.
  • General Practice Administration — Updating patient records, managing tasks and workflows, supporting prescription queries, handling clinical inboxes, and maintaining accurate documentation.
  • Communication & Liaison — Acting as a point of contact for patients, clinicians, and external services; providing clear, professional communication at all times.
  • Compliance & Confidentiality — Ensuring all work meets NHS, GDPR, and practice confidentiality standards.
  • Team Support — Assisting colleagues during busy periods, contributing to continuous improvement, and supporting the smooth running of the practice.
