As the brand continues to scale across multiple markets and retail channels, the Supply Chain team plays a critical role in ensuring products move smoothly from suppliers to customers — accurately, on time, and in full.

Role Purpose

We're looking for a highly organised, detail-driven Supply Chain Administrator to provide day-to-day support to the Supply Chain Manager. This role sits at the intersection of customer service, logistics coordination, and systems administration — keeping our ERP and third-party retailer/logistics portals accurate and up to date, and ensuring inbound and outbound stock movements run without disruption.

This is a great opportunity for someone who enjoys structured, process-driven work, is comfortable navigating multiple systems, and wants to build a career in supply chain and operations within a fast-growing international FMCG/CPG brand.

Key Responsibilities

Customer Service & Logistics Admin Support

  • Act as a key point of contact for logistics-related customer service queries (retailers, distributors, 3PL partners, and internal teams)
  • Respond to and resolve queries relating to order status, delivery timelines, stock availability, and delivery discrepancies
  • Liaise with carriers, freight forwarders, and warehouse teams to track shipments and resolve delivery issues
  • Support the Supply Chain Manager with day-to-day administrative tasks to keep logistics operations running smoothly

Inbound & Outbound Stock Management

  • Process and track inbound stock deliveries from suppliers/manufacturers, ensuring accurate receipt and booking-in of goods
  • Coordinate outbound stock shipments to customers, retailers, and distribution partners
  • Monitor stock levels and flag discrepancies, shortages, or delays to the Supply Chain Manager
  • Support stock reconciliation processes between warehouse, ERP, and retailer systems
  • Assist with stock forecasting and replenishment planning as required

Systems & Data Administration

  • Maintain accurate, up-to-date records within the ERP system, including purchase orders, sales orders, stock movements, and shipment data
  • Update and manage listings, order confirmations, and stock/inventory data across third-party retailer and logistics portals (e.g. EDI systems, retailer vendor portals, marketplace back-ends)
  • Ensure data accuracy and consistency across all systems to support smooth order fulfilment
  • Identify and escalate any system errors, mismatches, or process inefficiencies

General Supply Chain Support

  • Support the Supply Chain Manager with reporting (e.g. stock reports, delivery performance, order tracking)
  • Assist with document preparation for shipments (e.g. delivery notes, invoices, compliance documentation) where required
  • Contribute to continuous improvement of supply chain processes and admin workflows
  • Provide ad hoc support across the wider Operations team as needed

Key Skills & Experience

Essential:

  • Previous experience in a supply chain, logistics, customer service, or operations administration role
  • Working knowledge of ERP systems (Microsoft Dynamics, or similar)
  • Experience using or updating third-party portals (retailer portals, EDI platforms, or marketplace systems)
  • Excellent attention to detail and high accuracy when handling data
  • Strong organisational skills with the ability to manage multiple tasks and priorities
  • Confident communicator, comfortable liaising with internal teams and external partners
  • Proficiency in Microsoft Excel (e.g. VLOOKUPs, pivot tables) or Google Sheets

Desirable:

  • Experience within CPG, FMCG, food & beverage, or retail supply chain environments
  • Familiarity with international logistics and import/export processes
  • Experience working with UK/EU/US retailer or grocery vendor portals
  • An interest in Korean food, culture, or the wider Asian F&B category
