Full job description

We are looking for friendly, adaptable temporary receptionists to support our corporate sites across London during November and December, with the possibility of an extension depending on business needs and mutual agreement. You will cover ground floor and office receptions, welcome visitors and provide day-to-day administrative support. Duties vary between buildings and assignments.

Working Pattern and Flexibility

This is a zero-hours role offering flexibility to both Clermont Group and the individual. Hours and shifts are not guaranteed. We offer work according to site requirements, and you may accept or decline shifts according to your availability. Once a shift is accepted, punctual attendance and reliable cover are expected.

· Some shifts will be booked in advance. For ad hoc cover, we may contact you at around 7.00am to ask whether you are available to work that day. This is an offer of work, not a requirement to remain on unpaid standby.

· Assignments may include four-hour lunchtime cover or full-day shifts such as 8.00am–5.00pm, 9.00am–6.00pm or 8.30am–5.30pm. Exact timings and break arrangements will be confirmed for each assignment.

· Flexibility to travel to different London locations and adapt to different reception teams is important. Please keep us updated on your availability and respond promptly to shift offers where possible.

Key Responsibilities

Ground Floor Reception and Visitor Experience

· Welcome occupiers, employees, clients and visitors warmly, notify hosts and direct guests appropriately.

· Follow each building’s sign-in and security procedures, issue and recover visitor passes, and maintain accurate visitor records.

· Answer calls, manage reception enquiries and inboxes, and pass on clear messages promptly.

· Maintain a tidy, professional reception area and handle enquiries calmly, escalating concerns to the appropriate contact.

Office Reception and Administration

· Support meeting room bookings, update calendars and help prepare and reset rooms, including agreed refreshments.

· Assist with email correspondence, data entry, spreadsheets, filing and other routine reception administration.

· Receive post and deliveries, notify recipients and arrange couriers or taxis where required.

· Monitor stationery and reception supplies, reporting replenishment needs through the site’s agreed process.

· Maintain clear handover notes covering expected visitors, outstanding enquiries and any issues for the next receptionist.

Site Support and Professional Standards

· Learn and follow site-specific procedures, using the induction and handover information provided and asking questions when unsure.

· Report maintenance, cleaning, equipment or safety concerns to the relevant site contact.

· Follow confidentiality, data protection, access control and emergency procedures at every site.

· Maintain professional presentation and a helpful, attentive manner, adapting to each client’s service standards.

Experience and Skills

· Experience in reception, front of house, customer service, hospitality or retail is welcome; transferable customer-facing skills are valued.

· A good level of spoken and written English, with confidence answering calls, writing emails and assisting visitors.

· A warm, bubbly and approachable manner, balanced with professionalism and discretion.

· A willingness to learn, take feedback and become familiar with new buildings, systems and procedures.

· Strong timekeeping, reliability, attention to detail and the ability to manage several requests calmly.

· Confidence using email, Microsoft Office and basic computer systems.

· Flexibility to work across London, including short-notice assignments when available.

Equality, Diversity and Inclusion

Clermont Group Ltd welcomes applications from all backgrounds and recruits on merit. We are committed to an inclusive workplace and will consider reasonable adjustments throughout recruitment and employment.

This job specification outlines the role. Contractual terms will be set out separately in your contract.
