Job Summary
In a role that has been created as a result of business growth across Scotland, CLR are looking for a pro-active, dynamic and hard working individual with the ability to support our operations in our Head Office in Aberdeen coordinating work schedules. This position would suit someone in their first or second professional career role where they will gain exposure across numerous areas of the business including general administration, service, accounts, customer service and wider office support.
Working within our Aberdeen office, the candidate will report directly into one of the service coordinators to learn and help with the day to day operations. This role is vital to help record and coordinate the engineering team, liaise with customers and suppliers. Due to the number of interfaces and stakeholders that require to be engaged, strong communication and problem solving skills are key. Experience with Microsoft office, namely outlook, word and excel is a must. Exposure to a maintenance management system would be desirable, however, training can be provided for this.
Responsibilities
- General administration including use of Microsoft Office and business maintenance management system.
- Answering phone calls and emails, using initiative to solve problems, as required.
- Communicate effectively with all stakeholders internally and externally including customers and suppliers.
- Support the service team with the scheduling of appointments and coordinating the schedule of our field based technicians for projects, servicing and reactive work scopes.
- Responsible for ensuring jobs are recorded, tracked and updated on the system.
- Understand and support the record capture of appropriate compliance activities with legislative, statutory, policy and contractual obligations.
- Responsible for distribution of all job specific Method Statements and Risk Assessments, as required.
- Maintain a safe working environment.
- Ensure core training is undertaken prior to deadlines ensuring company compliance.
Experience
- Excellent communication skills who can confidently engage a variety of different interfaces.
- Experience using IT skills using Microsoft Office applications and Maintenance Management Systems.
- Capable of prioritising workload and problem solving.
- Supports continuous improvement.
- Ability to adapt and react to a dynamic environment.
