JVeterinary Receptionist / Client Care CoordinatorOverview

We are looking for an experienced Veterinary Receptionist to join our busy, fast-paced referral and clinical excellence veterinary centre.

This is not a standard reception role — we require someone who already has veterinary reception experience and understands the demands, terminology, workflows, and emotional aspects of working within a veterinary environment.

Applicants without previous veterinary experience will not be considered.

The successful candidate will play a vital role in delivering exceptional client care while supporting the smooth day-to-day running of a high-standard referral practice. This role requires professionalism, compassion, efficiency, and the ability to remain calm under pressure.

You will work closely with our veterinary surgeons, nurses, and clinical teams to ensure an outstanding client and patient journey at every stage.

Key ResponsibilitiesClient Care & Communication

  • Provide a warm, professional, and compassionate welcome to clients and their pets
  • Deliver exceptional client care at all times in line with the standards expected within a referral and clinical excellence environment
  • Handle enquiries via telephone, email, and face-to-face communication efficiently and empathetically
  • Support clients through sensitive and emotional situations with professionalism and compassion
  • Manage client concerns and complaints calmly, confidently, and appropriately

Reception & Front of House

  • Manage appointments, referrals, admissions, and diary coordination efficiently
  • Ensure the reception area remains organised, professional, and welcoming at all times
  • Work collaboratively with clinical teams to support smooth patient flow throughout the hospital/practice
  • Maintain high standards of communication between departments
  • Support the daily running of a busy front-of-house environment

Administrative Responsibilities

  • Maintain accurate client and patient records
  • Process payments, insurance claims, and estimates accurately
  • Support referral administration and general reception duties
  • Ensure confidentiality and professionalism in all administrative processes

About You

We are looking for someone who:

  • Has previous veterinary reception experience (essential)
  • Thrives in a busy, fast-paced clinical environment
