About Sarah’s Hire

Sarah’s Hire is a growing, friendly portable toilet hire company based near Hereford. We provide portable toilet hire for construction sites, events, farms and welfare servicing across Herefordshire, Worcestershire, Gloucestershire, Birmingham and parts of the West Midlands.

We are a practical, fast-moving business with a strong reputation for being reliable, easy to deal with and genuinely helpful. As the business continues to grow, we are looking for a confident and highly organised Operations Coordinator to become a key part of our day-to-day operation.

This is not a basic admin role. We are looking for someone who can help take real operational pressure away from the directors and become an important person in the running of the business.

The role

You will work closely with the directors, office team and drivers to help coordinate the daily hire operation.

The role will involve handling customer calls, preparing quotes, helping plan routes, dealing with routine customer issues, supporting driver communication and keeping job information accurate and up to date.

At first, you will be trained in how Sarah’s Hire works and how we like things done. Over time, the aim is for you to take ownership of much of the routine day-to-day operational coordination, allowing the directors to step back from normal calls, route pressure and customer issues.

We need someone who has already worked in a busy operational environment and understands what it means to coordinate customers, drivers, bookings, routes and changing priorities.

This would suit someone who enjoys responsibility, stays calm under pressure, and likes being the person who keeps the day moving.

Main responsibilities

  • Answer incoming customer calls in a friendly, professional and helpful way.
  • Take accurate hire details including dates, addresses, access information and customer requirements.
  • Prepare and send standard hire quotes.
  • Help manage bookings, deliveries, collections and servicing schedules.
  • Support route planning and daily driver job allocation.
  • Update job details, customer notes and route information accurately.
  • Liaise with drivers during the day to keep jobs running smoothly.
  • Deal with routine customer questions, updates and issues.
  • Escalate more serious issues to the directors when needed.
  • Chase missing customer information such as addresses, access details, site contacts and dates.
  • Support welfare servicing bookings and repeat work.
  • Help improve systems, processes and day-to-day organisation as the business grows.

This role is about bringing structure, calm and control to a busy working day.

You will not be left to run everything on your own from day one, but we are looking for someone who can grow into taking day-to-day ownership of routine operations.

The right person will be able to look at a busy diary, understand what needs doing, communicate clearly with drivers and customers, and help solve problems before they become bigger issues.

We want someone who can take responsibility, use common sense, and become trusted to keep the operation moving.

We are especially interested in people who have previously helped run or coordinate a busy day-to-day operation.

You may have worked in:

  • hire desk coordination;
  • transport or route planning;
  • construction support services;
  • waste, welfare, plant hire or tool hire;
  • field service coordination;
  • facilities management;
  • trades scheduling;
  • logistics;
  • customer service in a busy operational business.

Portable toilet hire experience is not required. We can teach the industry. What we need is someone practical, organised and confident enough to handle a busy operation.
