About Sponge

Sponge, near Holt, is a modern and exciting online cake business, producing a fantastic range of wonderful cakes which are sold to our customers via the website and through a network of wholesalers across the UK. Sponge has ambitious plans to become the leading online cake business in the UK and we are looking to recruit an experienced administrator operating within our marketing team.

At a glance:

Salary: £28,000 to £30,000 per annum

Job Type: Permanent

Hours: Monday to Friday 9:00-17:00 but can be flexible for the right candidate

Work Location: Holt, Norfolk (office based)

About the role

We're looking for an Administrator to keep the moving parts of Sponge moving in the right order. The role works within the marketing function bringing together information from production, operations and marketing departments.

At its heart, you'll own the data behind the Sponge website. Every new product, card design, blog and page update goes live through you, which means gathering the right information from every corner of the business and making sure it's accurate before anyone else sees it.

A new cake can't go live until it has a price, a description and stock behind it. A promotion can't launch until the codes are in place. Getting those steps in the right order, and catching the gaps before a customer does, is the most important part of this role.

The work runs to a daily, weekly and monthly rhythm, and some weeks the to-do list will be longer than others. You'll need to prioritise sensibly, ask questions, chase answers and keep everyone updated.

This is a linchpin delivery role, not a creative one, and no design skills are needed. Designs, images and copy come to you ready to go; your job is to run a final check, make sure they're live, correct and in the right place. If you get real satisfaction from a tidy spreadsheet, a finished checklist and a launch that goes out without anyone noticing it was ever complicated, we'd like to hear from you.

What you'll be doing

  • Gathering information from production, operations and marketing
  • Adding new products, including prices, descriptions, categories and images, and checking everything is correct before it goes live using a bespoke CMS
  • Keeping existing products up to date, from price changes and availability to seasonal ranges coming in and out
  • Uploading new card designs as they're available
  • Uploading blogs and updating web content across the site
  • Setting up and checking promotions, discount codes and Sponge Club member pricing on the site
  • Working to launch timelines so every step happens in the right order and nothing goes live early or incomplete
  • Keeping shared trackers and project boards up to date, so everyone can see what's happening and what's next
  • Writing and maintaining clear process notes and checklists, and suggesting improvements when there's an opportunity to improve
  • Acting as a reliable point of contact between departments, chasing what's outstanding and confirming when things are done

About you

Essential

  • Meticulous attention to detail. You check your work, then check it again, and you notice when something doesn't add up
  • Strong organisation, with the ability to juggle several time-sensitive tasks and work out what has to happen first
  • Confident IT skills, including spreadsheets (Excel or Google Sheets), and the ability to pick up new systems quickly
  • A clear and confident communicator, comfortable asking questions, chasing colleagues across departments and explaining where things stand
  • Reliable and accountable. When you're given a deadline you acknowledge it and meet it, and if something is going to slip you communicate this quickly
  • Happy working to processes and checklists, and following a brief accurately

Desirable

  • Experience with an ecommerce platform or website content management system
  • Familiarity with project management tools such as Trello, Asana etc
  • Previous administrative experience in ecommerce, retail, food or another fast-paced business

Pay: £28,000.00-£30,000.00 per year

Benefits:

  • Casual dress
  • Employee discount
  • Free parking
  • On-site parking

Work Location: In person
