Title of the position: Assistant Cleaning Manager

Department: Cleaning Operations

Reports to: Manager

Consults with: Operations team, all departments at Enterprise Cleaning Services, cleaning colleagues, clients & service partners

The Package:

£29,120.00 to £32,240.00 per annum

Full Time, permanent position

Work Schedule: Monday to Friday – 40 hours per week, 8 hours per day worked as a split shift flexibly across the day depending on staff/client requirements, working early morning or later in the evening.

Work Location: In person, Horsham, West Sussex with travel as required to client sites throughout Sussex and Surrey.

Enterprise Services Group Ltd is an established family run facilities management company employing around 100 staff and providing professional cleaning, gardening and building maintenance services to businesses across London and the Southeast.

To continue and maintain company growth we have recognised the need to strengthen the operations team. This role will require the individual to develop relationships and establish themselves as a key member of the operations team.

OVERALL RESPONSIBILTY

Ensure we exceed client expectations in relation to cleaning and associated periodical services and share responsibility for all aspects of contract management of our client cleaning portfolio/division.

CLIENT MANAGEMENT

  • To co-ordinate and assist in the daily operations of all aspects of each contract within the division
  • To schedule and minute regular client meetings at an agreed frequency, to discuss contract performance/development, any KPI’s, ongoing improvements, future requirements & promote Enterprise Cleaning’s innovations/other services
  • To carry out site surveys and assist in the mobilisation of new contracts
  • Help manage requests for additional services/one off work

COMMERCIAL MANAGEMENT

  • To help provide input on contract reviews to ensure that the service we are offering exceeds client expectations and that budgets and costings are correct including recommendations to change the service and potential wage/charge increases
  • To assist in communication of proposals of amended services to clients and assist in putting those proposals together
  • Understand gross margin, what influences it and find ways to improve it

PEOPLE MANAGEMENT

  • To help deliver and promote excellent customer service and encourage continuous improvement and training/development for the cleaning teams
  • Help deliver site inductions, practical cleaning training where necessary and toolbox talks to field colleagues
  • Ensure to assist in the completion of a 3-month appraisal with all new employees and help with annual appraisals on completion of their first year and each year thereafter
  • Ensure the cleaning team are punctual and correctly dressed in the appropriate uniform and PPE
  • To coach other Enterprise Cleaning staff to encourage their development and progression
  • Carrying out all staff related meetings including disciplinary, grievance/mediation, informal discussion, interviews, taking minutes.
  • Promote Enterprise Services Group staff initiatives such as training platforms, social media, Social Value initiatives etc.
  • Manage the cleaning team along with the Window Cleaning Department

TECHNICAL SKILLS

  • Monitor/assess site stock levels to ensure adequate stores for each month and to avoid overstocking. Ensure all products have the appropriate COSHH documentation and that all products have been issued by Enterprise Cleaning Services.
  • Ensure stores orders are allocated to the correct site when ordered and are in line with your ordering schedule.
  • Assist to produce task cards and specifications and regularly review these for every contract within your portfolio and use these to measure and monitor the performance of your cleaning team and appraise them accordingly.
  • Help to ensure each contract is compliant by checking and maintaining H&S site folders and discussing any issues or amendments with the manager.
  • Check portable electrical appliances for PAT test compliance and periodically check the equipment on site to ensure it is safe, reporting any equipment failure to the admin team as soon as you are notified.
  • Report any accident or near miss immediately to the HR, investigate and provide a comprehensive and detailed report including photographs.

COMMUNICATIONS AND TECHNOLOGY

  • To ensure all data is captured on spreadsheets to include accurate inputting of timesheets at least weekly, ordering stores and carrying out regular audits.

NECESSARY QUALIFICATIONS, SKILLS AND EXPERIENCE

  • Strong sense of customer service
  • Organised, methodical, proactive with excellent time management and delegation skills
  • Proficient with Microsoft Office package
  • A high standard of verbal and written English
  • Ability to communicate instructions, information, and contract management and practical cleaning knowledge clearly and concisely.
  • People management and previous experience in the cleaning industry is essential.
  • Basic knowledge of HR procedures and H&S guidelines
  • Experience in residential, commercial, office and communal cleaning
  • To work to a flexible time pattern to suit the needs of the business. This will include early mornings and evenings as required.
  • Ability to train others
  • Driving License
