Full job description

To provide an extensive, reliable and responsive high level professional and confidential executive assistant service focussing on the Deputy Chief Medical Officer , to allow them to make the most of their time. This includes diary management, forward planning, email, preparation of papers and presentations, the taking of minutes, actions, and notes, chasing action owners for updates regarding actions prior to subsequent meetings, updating action plans and ensuring the Deputy Chief medical officers has all the papers needed for every meeting and has the time to go through the papers in preparation for the meetings.

To provide support to the Deputy Chief Medical Officer as and when required in a professional manner ensuring that they receive appropriate communications and arrangement of meetings for them as needed and/or as directed. This includes venue bookings, organising venue space for meetings, receiving any delegates or visitors on behalf of the Deputy Chief Medical Officer.

In order to meet the needs of the Trust you may be required from time to time to work at different locations to your normal place of work. This may mean that you are required to work at any location that fall under Barnet, Camden, Enfield, Haringey or Islington. The Trust reserves the right to require staff to work at such other places or locations as it considers reasonable and necessary on a temporary or permanent basis.

  • To present a welcoming and professional image for the Executive Office, Divisions and the Trust.
  • Prioritise the Deputy Chief Medical Officer ’s complex workload to ensure that urgent and sensitive issues are dealt with in a timely and efficient manner.
  • The emphasis will be on executive support including a secretarial and personal assistant role to the Deputy Chief Medical Officer .
  • To be competent in diary management using initiative when and where to schedule meetings and resolve conflicting demands.
  • To use initiative and discretion to develop appropriate support for the Deputy Chief Medical Officer , this would include, arranging meetings, venues, and transport by forward planning and an effective bring forward diary system.
  • To be competent in MS Office applications to draft correspondence, spread sheets, Power Point presentations, email, Outlook calendar, Teams, and to be able to navigate the web effectively for research and finding relevant information. Also, with awareness of how to use financial systems i.e. Agresso / Oracle.
