Key Responsibilities

Client Onboarding

  • Sending out Quotes.
  • Opening new files and carrying out client due diligence (ID checks, AML compliance).
  • Preparing and issuing client care letters and terms of engagement.
  • Liaising with clients to obtain initial documentation and information.

Residential & Commercial Property Support

  • Assisting with a range of conveyancing matters from instruction through to completion.
  • Preparing contract packs and legal documentation.
  • Ordering searches and managing search results.
  • Drafting correspondence and documents for review by fee earner.
  • Liaising with clients, estate agents, lenders, and third parties.
  • Dictation from fee earner.

Post-Completion Work

  • Preparing SDLT returns.
  • Preparing Land Registry applications.
  • Preparation of completion statements
  • File closures and file archiving.
  • Supporting fee earner with compliance and post-completion deadlines.

Administrative & Filing Duties

  • Maintaining accurate and up-to-date file records (electronic and paper).
  • Scanning, filing, and document management.
  • Diary management and key date monitoring.
  • Handling incoming and outgoing departmental post.
  • General office administration support.
  • Client and third party telephone call handling.

Ad Hoc Duties

  • Assisting with other administrative tasks to support the wider team.

Skills & Experience

  • Excellent organisational and time management skills.
  • Strong communication skills, both written and verbal.
  • Ability to work independently and as part of a team.
  • High level of attention to detail.

Desirable

  • Previous experience in residential and commercial property experience.
  • Understanding of the conveyancing process from instruction to post-completion.
