Job description

We are looking for an organised and enthusiastic Administration Assistant to join our Buying & Merchandising team at our Head Office on Lancaster Way Business Park, Ely.

Full training will be provided, and this is an excellent entry level opportunity for a motivated individual to develop their career within a successful, family-owned business that values collaboration, innovation and personal development.

Your main duties and responsibilities will include:

Critical Path & Purchasing System

● Create and maintain styles and orders on the purchasing system, ensuring accurate product set-up from initial load through to delivery.

● Maintain prices, deliveries and stock levels on the system, processing all updates accurately and in line with critical path deadlines.

● Enter stock price changes and mark-downs as directed.

● Assist with the process of monitoring stock refunds, returns and transfers.

● Assist in uploading and maintaining stock on the company website (Shopify), including images and product content.

● Process and print store stationery requests.

● Assist with setting store allocations at busy trading periods.

Sample Management

● Log all samples into the business, accurately recording and tracking fit and sign-off samples at each stage of the approval process.

● Manage sample returns to suppliers, ensuring all samples are accounted for and returned promptly.

● Maintain a seasonal sample library organised by month and collection throughout the season.

● Actively manage the showroom and sample library, keeping it well-organised, up to date and accessible.

Administration & Filing

● Print and approve barcodes for new lines.

● Maintain organised filing of paperwork, trims and approvals by season and supplier.

● Maintain store details, including contact information and opening hours.

● Maintain the Friends and Family discount process.

● Provide general administrative support to the Buying and Merchandising team as required.

● Any other duties required by the business.

The role is varied and diverse and due to the size of the organisation there will undoubtably be tasks outside of the main job description.

The ideal candidate will have/be:

● Previous experience in a retail, buying or merchandising environment is desirable but not essential.

● Strong organizational and multi-tasking skills. Able to manage a high and diverse workload, meeting all deadlines.

● To be flexible and adaptable. Must have the ability to respond under pressure to fluctuating circumstances and the immediate needs of a small team. Getting involved in whatever is most crucial.

● Excellent communication skills, both oral and written.

● Team Player, with good interpersonal skills, including a friendly and approachable manner. Able to demonstrate previous successful experience.

● Able to manage own workload and use own initiative. Able to demonstrate previous experience.

● Accurate production of work – with a good eye for detail, including being able to make overall suggestions for improvement for the benefit of the wider business.

● PC Literate, especially Outlook and Excel, with the ability and enthusiasm to learn and confidently use internal software packages/databases that are essential for the role.

Working hours – Full Time - Monday to Friday – 08:30 to 17:00.
