The team is responsible for the development and overall control of all matters relating to the firm's financial policies, financial affairs and administration.
Working closely with both the billing and credit teams this role will take responsibility for the day to day and monthly billing processes, specific practice areas and partner debts, working towards both billing and cash collection targets.
BILLING
Working closely with the Senior Revenue Controller you will assist with:
- Processing invoices submitted to the finance team.
- Responding to requests to raise credit notes and pro forma invoices.
- Monitoring the Accounts/Billing email inbox and assisting PAs and others with the billing system and related queries.
- Reviewing and inputting billing related disbursement invoices to ledgers in time for billing (Counsel and Expert fees both sterling and other currencies via our FX supplier system).
- Maintaining client/matter records to ensure correct charge out rates are recorded and other client record data.
- Assisting with the submission of invoices via the E-billing process.
CREDIT CONTROL
Taking responsibility for smaller Partner debts allocated to you, you will:
- Regularly reviewing all aged debt within your group & follow up with partners and fee earners by email/virtual or face to face meetings.
- effectively manage your Collections to-do list to ensure that timely reminders are sent to debtors, and followed up in line with our internal processes.
- maintain an organised diary and up to date notes system.
- escalate aged debts/files to the Senior Revenue Controller where appropriate.
- assist with monthly reporting of clients with high exposure within your profile.
GENERAL
- Assisting with the allocation of funds received in settlement of bills, as required during team absences, ensuring that banking deadlines are met.
- Dealing with internal and external client requests via telephone and email, to include receiving payment for invoices via credit/debit card.
- Monitoring the credit control and billing inboxes, along with the team, to ensure that all queries are dealt with promptly, including responses from partners and fee earners in relation to alerts informing them that debts are approaching 30 days old.
- Maintaining good working knowledge of all relevant systems including the client onboarding system and time recording system.
- At least two years' experience operating within a similar sized legal team.
- Experience in using a Practice Management System, able to make use of systems, previous knowledge of Aderant or Elite is highly desirable.
- Experience of engaging with Partners and Fee Earners and demonstratable examples of debt meetings and client liaison.
- Proactive team player with an enthusiastic manner, who takes a flexible, ‘can-do’ approach to work.
- Confident in working autonomously/independently to meet ever-changing deadlines.
- Ability to work well under pressure and to prioritise and organise workloads effectively.
- A willing and adaptable aptitude to provide support to the team when necessary, during busy periods or times of absence.
- Eager to contribute to firm events, projects, steering groups and committees. Keen to support any relevant initiative or system implementation.
- Results driven.
The hours of work for this opportunity are 9:30am - 5:30pm but we would expect the successful candidate to be committed, flexible and prepared to work beyond the normal office hours if necessary and in response to client demand.
