CSP is proud to provide logistics and operational support services at Olympia, one of London’s most iconic venues. Following a £1.3 billion transformation, Olympia has become a world-class destination, bringing together entertainment, events, hospitality, offices and cultural spaces in a vibrant mixed-use estate.

We are looking for a proactive and detail-oriented Logistics Assistant to join our on-site Logistics Team. This is an excellent opportunity for someone looking to develop a career in logistics, operations, events, facilities management or estate services within a fast-paced and unique environment.

Working closely with the Head of Logistics, you will play a key role in coordinating deliveries, managing logistics data, supporting major events and helping to ensure the smooth operation of a complex estate.

A full job description is available on request.

The Role

As a Logistics Assistant, you will support the day-to-day operation of Olympia’s logistics function, helping to coordinate deliveries, monitor estate activity and maintain efficient traffic and servicing arrangements across the site.

Using logistics management systems and operational reporting tools, you will work with occupiers, contractors, event organisers and service partners to ensure logistics activities are planned, communicated and delivered effectively.

This is a varied role that combines administration, coordination, stakeholder management, problem-solving and data analysis.

Key Responsibilities

Logistics Operations

  • Manage and maintain the Delivery Management System (DMS), ensuring all deliveries and activities are appropriately scheduled and approved.
  • Coordinate logistics requirements for exhibitions, conferences, hospitality venues, office occupiers and estate operations.
  • Support planning for large-scale deliveries, fit-outs, construction projects and special events.
  • Maintain logistics calendars, operational schedules and reporting records.
  • Manage estate parking bookings and allocation processes.
  • Support sustainability initiatives, including transport efficiency and waste reduction programmes.

Service Partner Coordination

  • Work closely with logistics service partners and on-site operational teams.
  • Communicate delivery schedules, vehicle access requirements and operational updates.
  • Assist with planning and coordinating plant and equipment movements across the estate.
  • Liaise with security, facilities and operational teams to support safe and efficient access control.
  • Prepare and distribute logistics schedules and operational updates to relevant stakeholders.

Stakeholder Support

  • Support Event Managers and occupiers throughout planning and operational delivery stages.
  • Attend logistics and coordination meetings with tenants, organisers and service providers.
  • Respond to enquiries and assist in resolving operational issues.
  • Support the delivery of training and guidance for DMS users.

Data & Reporting

  • Monitor delivery activity and vehicle movements to identify congestion risks and operational challenges.
  • Analyse logistics and traffic data to identify trends and improvement opportunities.
  • Produce reports and performance information for management review.
  • Conduct audits of records, documentation and logistics system data.
  • Support the development and maintenance of logistics procedures and operational guides.

About You

We are looking for someone who is highly organised, analytical and enjoys working in a fast-paced operational environment.

Essential Requirements

  • Degree in Business, Events, Real Estate, Logistics, Operations Management or a related field, or equivalent relevant experience.
  • Experience within events, operations, facilities management, property management, logistics or hospitality.
  • Strong Microsoft Office skills, particularly Excel.
  • Excellent organisational and administrative abilities.
  • Strong attention to detail and commitment to accuracy.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple tasks and priorities simultaneously.
  • Positive, proactive and solution-focused approach.
  • Ability to remain calm and effective under pressure.

Desirable

  • Experience using delivery management, CRM or booking systems.
  • Experience working within a mixed-use estate, venue, events or facilities environment.
  • Understanding of logistics planning and operational reporting.
