About the Role

Phoenix West is seeking an experienced and highly organised Senior Project Coordinator to support the successful planning, coordination and delivery of projects across the business. This is a key role that sits at the centre of project activity, ensuring timelines, resources and stakeholders remain aligned from initiation through to completion.

The successful candidate will work closely with project managers, senior stakeholders and cross-functional teams, providing structure, oversight and clear communication to help projects run efficiently and on schedule.

Key Responsibilities

Project Coordination and Delivery

  • Coordinate multiple projects simultaneously, ensuring milestones, deadlines and deliverables are met.
  • Support project planning activities including schedules, budgets, risk logs and resource allocation.
  • Monitor project progress and proactively highlight risks, issues and dependencies.

Stakeholder and Team Collaboration

  • Act as a central point of contact between internal teams, suppliers and external stakeholders.
  • Facilitate project meetings, prepare agendas, capture actions and follow up on outcomes.
  • Provide regular progress updates and reports to project managers and senior leadership.

Governance and Documentation

  • Maintain accurate and up-to-date project documentation, plans and trackers.
  • Ensure projects follow agreed processes, governance frameworks and quality standards.
  • Support change management activities and ensure changes are documented and approved.

Process Improvement and Support

  • Identify opportunities to improve project coordination processes and workflows.
  • Support junior team members with guidance and best practice where required.
  • Assist with onboarding new projects and contributing to long-term planning activities.

About You

  • Proven experience in a project coordination or project support role, ideally at a senior level.
  • Strong organisational skills with the ability to manage multiple priorities effectively.
  • Excellent communication skills, both written and verbal, with confidence engaging stakeholders at all levels.
  • Detail-oriented, proactive and solution-focused.
  • Comfortable working in a fast-paced, office-based environment.
  • Proficient in project tools and Microsoft Office (or equivalent project management systems).
