About The Role

Join Our Team as an IT Asset Specialist

Are you passionate about building strong relationships and driving cost optimisation? We’re looking for an IT Asset Specialist who excels in communication, negotiation, and managing software licensing and billing processes. In this role, you’ll play a key part in ensuring our IT assets are managed efficiently and strategically.

While not essential, qualifications such as ITIL v4, ISEB, or ISO 19770-1 would be a great bonus.

We work in a hybrid way, with a requirement to travel into our Walsall office at least twice a week to work with the team. Please note that travel to our Nottingham and Preston office may also be required, however, this will be very limited and on an ad hoc basis. With that in mind you will be located within a convenient commute to Walsall.
The IT Asset Management Specialist plays a key role in ensuring the organisation effectively manages its software and hardware assets throughout their lifecycle. This position focuses on maintaining accurate records, supporting compliance, and optimising costs related to IT assets. The role involves working closely with internal teams and external vendors to track licences, manage renewals, and assist with audits, while ensuring adherence to governance and usage policies.
This role involves collaboration with various teams within the organisation to optimise software licensing costs and support financial transparency.
PRINCIPLE ACCOUNTABILITIES
  • Manage software inventory and utilisation, including licence harvesting using Snow License Manager.
  • Prepare monthly MI reports on software compliance and highlight non-compliance.
  • Lead internal and external audits to ensure adherence to agreements and vendor performance.
  • Act as the escalation point for complex licensing issues.
  • Oversee FinOps activities, including billing, invoicing, reconciliation, and cost optimisation.
  • Ensure compliance with legal, regulatory, and contractual licence obligations, highlighting any issues
  • Optimise software purchasing, deployment, and utilisation to drive savings and compliance.
  • Recommend and implement best practices, processes, and tools for Software License Management.
  • With the support of Procurement, manage contract renewals ensuring sufficient justification for renewals
  • Maintain vendor portals and relationships with software publishers.
  • Track and reconcile vendor licence agreements and implement cost mitigation plans.
  • Manage software usage billing, invoicing and reconciliation processes, resolving billing discrepancies
  • Prepare software licence compliance Management Information for the Monthly Technical Operations Committee and escalate any non-compliant areas.
  • Prepare an annual deployment and entitlement reconciliation of high-risk software titles.
  • Participate in the out of hours on call manager Rota

About You

To be successful in this role you will need to have the following knowledge, skills and attributes:
Essential:
  • Experience in software licensing and billing management.
  • Strong understanding of software licensing agreements and compliance.
  • Proficiency in software asset management tools and financial software
  • Excellent negotiation and vendor management skills
  • Excellent communication, interpersonal skills and the ability to build relationships at all levels of the organisation.
  • Strong analytical, financial modelling skills and Organised, efficient and accurate.
  • Attention to detail and ability to work independently
  • Pragmatic approach to problems and incidents regarding Software issues.
  • Able to communicate complex software & licencing problems, requirements and solutions to non-technical colleagues in a way they can understand
  • The desire to remain conversant with software management within the industry and to continually develop further knowledge.
  • Experience with Software Management Tools, i.e. SNOW Licence Manager
  • Excellent Office skills, mainly Excel, formula and pivot tables
  • SAM process and maturity assessment experience
  • Certification in Software asset management (e.g, CSAM)
Desirable:
  • Excellent knowledge of how software usage supports business functions and processes.
