Full job description
Physis Scotland is well established Counselling & Psychotherapy training Institute in the heart of the West End of Edinburgh. We deliver a busy, thriving programme of online and in-person qualifications, with a speciality in Transactional Analysis training.
An opportunity has become available for a part-time (30 hours) Administrator to join our close-knit team. This is a self-employed position, offering great flexibility and hybrid working. This role would suit someone with excellent people-skills, strong office experience and an interest in Counselling & Psychotherapy.
We would especially value hearing from candidates who have a background in HR administration, Microsoft Office expertise and/or working within the adult training and education sector.
The Administrator role will provide comprehensive administrative support for the full range of Counselling & Psychotherapy training courses, as well as for our marketing and publicity activities.

Job Description
Title: Academic Administrator
Hours: 30 hours per week on a self-employed basis
Days & Times: Mornings with some flexibility
Remuneration: £14.00 an hour
Contract length: Ongoing, with all terms to be reviewed in 6 months.
Aims & Objectives:
The Administrator will provide comprehensive administrative support for Physis Scotland’s marketing and publicity as well as our full range of Counselling & Psychotherapy training courses.
Key Duties/Tasks
Training Programme Administration
· Act as first point of contact for email enquiries, including to new and existing students.
· Responding to enquiries by providing information and/or signposting to another member of the Physis Scotland Team, if appropriate.
· Process booking requests for TA101 and CPD courses.
· Maintain up-to-date registers, attendance lists for all courses.
· Maintain up-to-date digital filing systems throughout the academic year.
· Log course payments and other basic financial administration as required.
· Issue Start of Year and End of Year documentation to students, including induction information, certificates, evaluation forms.
· Provide basic website administration (for example, uploading handouts to the Physis Student Area).
Publicity & Marketing
· Manage Eventbrite listing and bookings, including updating spreadsheets, communication with participants, and issuing refunds where applicable.
· Assist in the development, design and layout of promotional materials (for example, CPD flyers).
General/Other Duties
· Create an Administration Manual to document and formalise Physis Scotland’s Administration systems and processes.
· Attend regular Physis Team Meetings and contribute to ideas and suggestions to support overall business development.
· Other general administrative duties as directed by the Physis Scotland Directors.
Person Specification
· Educated to degree level.
· Ability to work on own initiative and as part of a team.
· Flexible and proactive approach to problem solving.
· Experience of providing exceptional customer service and the ability to adhere to strict codes of confidentiality.
· Experience of Microsoft Office and in particular Excel Spreadsheets.
