Full job description

Responsibilities

Administration of:

  • External coach parking at our depot location
  • Insurance/ Incident Management process in liaison with the Oxford Bus Incident Manager
  • Shared mailboxes
  • Dealing with School Transport enquiries and ticketing queries
  • Financial Accounting software (Xero) for the purposes of monthly reporting
  • Vehicle entry and exit processes, updating fleet list, and creating digital and paper based vehicle files, including Continental Packs
  • Support the administration of uniform ordering and stock taking
  • DBS applications and processing of Local Authority Safeguarding badges for all driving colleagues
  • Petty Cash, driver expenses, and driver floats
  • General Office Administration and telephone queries

Management of:

  • Internal fuel payment card ordering, reconciliation and monitoring
  • Authorised Testing Facility (ATF) for MOT payments, bookings, invoicing, cancellations
  • School Transport timetabling and ticketing in liaison with Local Authorities
  • Private Hire client invoicing

General:

  • Build effective partnerships with the wider Depot team and support managers in meeting their objectives
  • Engage regularly with all colleagues in the wider business using various methods of communication
  • To generally promote the company and uphold the company’s reputation, enhancing the company’s image through appearance and behaviour
  • To perform any other duties as may be required by the Area Director, Finance Director, Financial Controller and H/R Manager within the context of the post

Experience, Knowledge & Qualifications

Ideally:

  • Certification in office administration

Essential requirements:

  • Previous administration experience
  • Previous customer service experience
  • Experience with tasks such as data entry
  • Proficiency in Microsoft Office applications, including Word, Excel and Outlook
  • Excellent communication skills
  • GCSE’s (or equivalent) in English and Maths

Personal Skills & Attributes

  • At least two years’ experience working in an administrative role
  • Demonstrable competence as a general administrator
  • The proven ability to work across multiple teams and functions in order to deliver the best result for the organisation
  • The ability to take ownership and work independently, as well as enjoy working with colleagues to achieve goals
  • To maintain the highest standards of confidentiality
  • Clear, accurate and concise verbal and written communicator
