Full job description

Context:

Homelink is an expanding and developing charity providing respite care and support to older people with a range of needs, including those affected by dementia, from our purpose-built day centre in Whitton. We provide tailored activities so that the people who come to us have a stimulating day whilst their carer has an important break and some time to themselves. Homelink also has a Carer Support Service that offers direct emotional, practical, and social support to carers.

Purpose of the Role:

We are looking for a part-time administrator to undertake a full range of varied administrative and bookkeeping functions to support the organisation.

Main Responsibilities:

General administration support tasks as required, including, but not restricted to:

  • Dealing with telephone and email enquiries.
  • Scanning, filing, saving, and printing documents.
  • Creating, editing, and designing a range of documents, for example: letters, posters, menus and newsletters.
  • Creating and posting information on social media and the Homelink website as directed.
  • Checking and distributing post.
  • Taking, typing, and circulating minutes of meetings.

Support the Administration Manager in the management of facilities and maintenance, including contacting contractors to arrange repairs and schedule work.

Support the Finance Manager with bookkeeping tasks such as entering and updating purchase invoices into Homelink’s accounting database (QuickBooks), maintaining spreadsheets and verifying and recording sales invoices.

Input data as directed into Homelink’s database (Charitylog).

Manage booking and timetabling of entertainers for the centre, sourcing new entertainers as directed.

Provide support with the preparation of events including those related to fundraising and promotion.

Assist with stock-taking requirements and ordering of supplies.

Person Specification:

  • Minimum GCSE or equivalent in English.
  • Background and experience of working within a similar administrative role.

Skills, abilities and knowledge:

  • Proficiency in using IT systems, including Microsoft Word and Excel, databases, and cloud filing.
  • A logical and methodical approach with attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • A creative flair for designing posters and information bulletins.
  • Good time management skills with the ability to multi-task.

  • Empathy and a sensitive approach towards older people, including those living with dementia and their carers.
  • Ability to work independently and use initiative.
  • Self-motivated, reliable, and flexible
  • An excellent approach to teamwork

Further Information:

  • There may occasionally be a requirement for the postholder to work outside of office hours by prior agreement.
  • Any offer of employment will be subject to an Enhanced DBS check and 2 successful references.
