Job Responsibilities:
Being a small business, this role will be very diverse, and no day will look the same making this an exciting opening within the company as we continue to grow rapidly and scale up our team.
Working alongside an established team you will be responsible for the handling of customer orders conducting administrative tasks relating to these.
Key responsibilities include but are not limited to:
- Working with Account Management (AM) team to ensure we deliver excellent customer service
- Preparing & handling of quotes which may come via AM team or from customers directly
- Responsible for understanding customer order requirements and delivery deadlines to ensure we execute on what we commit to each customer
- Project management of customer orders from receipt of order through to delivery working closely with AM team keeping them informed of project status
- Communication with customers and suppliers keeping up to date with status of projects via phone, email, video call or face to face meetings
- Raising of purchases orders on external suppliers
- Working with external suppliers to schedule requirements in line with customer delivery expectations
- Management of workflow including artwork approvals, production planning and logistics
- Input and Management of data internal reporting systems to ensure accuracy of Quickbooks, CRM and Internal tracking tools
- Management of PO status report, WIP, daily delivery updates, End of day reporting
- Dealing with customer order/quote enquiries via phone, email, video call
- Working with production to ensure goods received are produced are in line with approved proofs
- Uploading of items & stock levels to our SwagOnline system for customers who utilise this platform
- Working with AM team to proactively manage SwagOnline stock levels and prompt customers to re-order lines once minimum stock levels are hit
- Running of EOM reports to produce customer EOM invoices
Requirements:
- Fast learner
- Effective communication skills within the team and with our customers/suppliers
- Confident in speaking with customers & suppliers at all levels of an organisation
- Highly Organised with a high sense of ownership and accountability
- Able to work in a high-pressure environment and manage a diverse workload
- Strong administrative skills
- Works with a high degree of attention to detail
- Willing to go the ‘extra mile’
- A people person with a positive ‘can do’ attitude
- Past industry experience preferred but not essential as full training will be given
