Title: Scanning Operative
Location: Rackheath, Norwich
Responsible to: Office Manager and Operations Manager
Hours: 8-16 hours per week, flexible on days. Our opening hours are Monday to Friday 8:30am to 5:00pm (excluding bank holidays).

Role overview:

In an increasingly digital world, high‑quality document digitisation is essential for many organisations. In this role, you will be responsible for producing accurate, high‑quality digital images using our state‑of‑the‑art scanning equipment. You will handle confidential documentation with care, preparing, scanning, and quality‑checking files to ensure excellent results for our clients.

You will work closely with the Office Manager to ensure daily workflows run smoothly, communicate client instructions, and support the wider operational team with general administrative tasks as required. This position plays an essential part in helping clients transform their paper records into secure and efficient electronic formats.

Requirements:

  • Previous administrative experience is preferred but not essential, as full training will be provided.
  • Highly organised, with strong attention to detail, accuracy, and the ability to use initiative.
  • Previous experience operating high volume or high production scanners is desired but not essential.
  • Excellent verbal and written communication skills
  • A methodical and structured approach to tasks.
  • Strong work ethic and the ability to work independently as well as part of a team.

Responsibilities:

  • Carrying out the full scanning process from start to finish. This includes:

1. Set up client specific configurations within the scanning software to meet defined requirements.

2. Prepare documents by removing staples, paperclips, post it notes, and other obstructions.

3. Digitise documents using high production scanning equipment.

4. Conduct thorough quality checks on scanned images to ensure accuracy and clarity.

5. Export client data in the required format.

  • Perform routine maintenance and cleaning of the scanning equipment.
  • Check for software and hardware updates where required.
  • Liaise with external suppliers to arrange servicing and support procurement activities related to scanning operations.
  • Maintain client confidentiality and ensure secure handling of all information.
  • Adhere to responsibilities set out in the company’s Business Management System.
  • Assist with documenting and updating scanning procedures in the Archive-Vault Operations Manual.
  • Complete the monthly scanning tracker and provide statistical reports to the Office Manager.
  • Work towards scanning related KPI’s and general business goals.
  • Provide support to other areas of the business as required.
  • Work alongside the Office Manager to coordinate daily scanning projects from initial enquiry to final output.
  • Support the Office Manager with administrative tasks when required.
