We are now looking for a dynamic and experienced Executive Assistant to provide administrative support to our team of HR Consultants/Gurus, as well as manage the day-to-day operations of the office. This is a diverse role handling a variety of tasks with a high level of professionalism, confidentiality, and flexibility in a fast-paced environment.

A bit about the role

  • Provide administrative support to the HR Gurus, including managing calendars, travel arrangements, coordinating and scheduling meetings and conference calls, preparing materials, and attending meetings as needed.
  • Screen and respond to incoming new business inquiries, including emails and calls, and direct communication to the appropriate HR Guru.
  • Supporting the team with key HR processes such as; o Recruitment – interview scheduling, candidate correspondence o Employee Relations – meeting scheduling, note taking o HR Compliance – preparing offer letters, contracts of employment, policy implementation, onboarding & induction paperwork o HRIS - maintain HR records and databases using various HRIS, and generate reports as requested by the team.
  • Handle confidential information with discretion and professionalism.
  • Assist with HR projects as assigned by the HR Gurus, including organising training and workshop events.
  • Manage and oversee the office's daily operations, including office maintenance (supplies & equipment), event planning, managing relationships with vendors and suppliers, invoicing and chasing debt.

This is a full-time role, however we would be open to part time applications and the successful candidate would need to be able to commit to working a minimum of 4 days per week, or 5 shorter days per week e.g. 09:30 – 14:30.

A bit about you

  • Minimum of 4 years’ experience as an EA or in a similar administrative support role
  • Experience of working within an HR function (would be amazing, but not necessary)
  • IT savvy, able to use range of IT packages - HRIS, SharePoint and Intermediate or Advanced proficiency with Microsoft Office, including Word, Excel, PowerPoint and Outlook
  • Strong written and verbal communication skills
  • Shows initiative, prioritise workloads and work to deadlines
  • Highly organised and a team player
  • Strong attention to detail and ability to multi-task while prioritising tasks
  • Able (and enjoys!) to work independently and manage projects with limited direction

Salary: £30,000 per annum (FT)

Hours:

  • Full time: 09:00 – 17:30 (30 min unpaid lunch break), Monday - Friday 40 per week
  • Part time: minimum of 25-30 hours per week, spread over 4 or 5 days (must include a Monday) and worked between 09:00 – 17:30

Job Types: Full-time, Part-time, Permanent
