Job Titles: Executive Assistant to the CEO and Board Clerk

Location: Remote/Hybrid – Ideally London or West Midlands based

Reporting To: Chief Executive Officer

Contract Type: 15 - 20 hours per week (over 4-5 days)

Salary: £23,400 - £25,600* (pro rata)

Holiday Entitlement: 33 Days, inclusive of bank holidays (pro rata)

2. Scope and purpose of the role

This is an exciting and unique opportunity to join The Security Institute at an important phase of its growth and development.

The Executive Assistant to the CEO and Board Clerk is a vital role within The Security Institute team, reporting to the Chief Executive Officer. The purpose of the role is to provide high quality virtual executive assistance to the CEO and to the Board of Directors and to lead on the governance within the Institute.

You will work closely with the Institutes Board of Directors, leadership, managers and officers to ensure that we work to governance best practice.

3. About you

You will be a self-driven and professional executive assistant who has an understanding, or interest in governance and who can work within a highly confidential and fast pace setting.

You will be agile, capable of absorbing key information quickly and efficiently and be confident in managing a wide ranging and fluctuating workload.

4. Main duties and responsibilities (not necessarily in priority order)

  • To provide high-level administrative support to the Chief Executive Officer
  • To manage and maintain the CEO's calendar, including scheduling and coordinating meetings, appointments, speaking engagements and travel and hotel arrangements
  • To oversee the CEO priority activity and to coordinate and prioritize multiple tasks and projects accordingly
  • To provide high level administrative support for the Board of Directors meetings
  • To organise virtual or in person Board of Directors meetings
  • To support the events team in the organisation of Board facing events i.e. AGM
  • To prepare and edit correspondence, communications, presentations, and other documents as required
  • To handle confidential information with discretion and to maintain strict confidentiality
  • To act as a liaison between the CEO and internal/external stakeholders
  • To assist with special projects and initiatives as assigned
  • To ensure that records are maintained in the correct system (CRM/SharePoint) in accordance with our internal policies
  • To conduct research, compile data and prepare reports as required for the Chief Executive and/or Board of DirectorsTo comply with data protection legislation and act responsibly on matters of data disclosure both internally and to third parties, maintaining the highest standards of confidentiality.
  • To build positive working relationships both with internal colleagues and externally with stakeholders
  • To represent the Institute in a professional manner and to act at all times in a manner which will not damage its reputation

5. Essential Criteria:

  • Experience as an executive assistant or similar role supporting senior-level executives
  • Ability to handle sensitive information with confidentiality
  • Excellent phone etiquette and written and verbal communication skills
  • Highly organised, with excellent attention to detail
  • Excellent project and time management skills and able to manage multiple projects
  • Strong relationship-building and networking skills, able to represent The Institute in a positive and professional way
  • Excellent problem-solving skills and an ability to work independently and as part of a team
  • Ability to work positively in a high performing team
  • Highly competent in using the Microsoft Office 365 suite
  • Ability to carry out initial screening of job applicants based on criteria and guidance provided
  • Capacity and willingness to travel on occasion throughout the UK, including overnight stays.
  • A positive can do growth mindset, keeping calm under pressure
  • Evidence of the right to work in the UK.

6. Desirable

  • Educated to degree level or professional qualification in business administration, governance or similar.
  • Experience as the secretariat for a Board of Directors, including reporting to Companies House
