Purpose & Objectives

You will play a crucial role in planning, organising, and overseeing training programs within our organisation as part of the Operations Support team. The primary purpose of this team is to ensure that the training needs of our clients are identified and provide operational support. You will be the first point of contact for visitors and callers whilst undertaking a range of other administrative and operational support tasks. The ideal candidate must be confident at working independently, communicating with customers different mediums and have proficient experience in using Microsoft Excel, Word and Outlook.

Key Tasks & Responsibilities

· Course administration and logistics including but not limited to; scheduling and allocating courses on the Training Management System (TMS), administering candidate joining instructions, preparing course paperwork, processing certifications, venue re-stock and new booking enquiries.

· Arranging and processing actor bookings.

· Booking accommodation for trainers when required.

· Allocating kit to trainers and restocking venues when necessary for all course types. This will need monitoring on an ongoing basis.

· Administration and processing of both Regulatory (QNUK) & Accredited (TAG) courses.

· Shared responsibility for operations inboxes and dealing with enquiries promptly.

· Provide support and assistance in the recruitment and onboarding of new trainers.

· Handling all incoming customer enquiries in a timely manner by providing the appropriate service and information.

· Stock management and ordering of products. Including E-commerce items, kit and training supplies and other learning materials.

· Providing customer quotations and checking product availability.

· E-Commerce order processing from start to finish, creating, packing, and arranging dispatch of Web orders. Updating the order status on WooCommerce as applicable and updating the postage tracking sheet.

· Maintaining an accurate Customer Relationship Management (CRM) database by entering and updating client information at all times.

· Prepare and produce course reports for the Senior Leadership Team (SLT).

· Support the wider team as and when required, including cover for other operations team members during leave or busy periods.

· Your attendance will be required at some training courses as part of the operations team. On occasion these may be at weekends.

· Any other duties requested relevant to the role.

Essential Skills

· You must have a keen eye for attention to detail.

· There must be flexibility with working hours.

· You will have the ability to work within deadlines.

· You must possess both effective written and oral communication skills.

· Have the ability to build good working relationships with colleagues and clients.

· Good problem-solving skills, the ability to think quick with solutions and taking initiative.

· You must possess a full, clean driving licence with access to your own transportation due to the travel requirements of the role.

Experience

· It would be beneficial if you had experience with working in a training environment.

· Experience of first aid training would be desirable.

· Experience of hybrid working desirable.

Knowledge

· Strong IT skills & experience.

· A good understanding and experience of CRM and Training Management Systems.

Other Information

Due to company vehicle insurances you must be over 25 to be able to fulfil this position.

Please note that whilst we offer hybrid working as a perk, there will be a mandatory number of days required on site to complete the necessary tasks this role requires. During the onboarding period, your presence will be required up to 4 days a week for training. A working week is 37.5 hours.
