Job Title: Outdoor Event Assistant

OPPORTUNITY

We are looking for a motivated and versatile individual to join our team as an Event Assistant. In this role, you’ll collaborate with multiple departments from marketing to logistics, gaining hands-on experience in every aspect of event coordination and communication. You will play a crucial part in supporting the planning and execution of our events, with opportunities to explore various areas of event management and progress within the department of your choice. This is an exciting position for someone eager to learn and grow within a renowned event company.

While the position is primarily office-based, you will also work on-site at events across the country, staying at event locations and fully immersing yourself in the dynamic environment of live event production.

RESPONSIBILITIES

  • PR and Marketing Assistance: Support the drafting and distribution of press releases to media outlets at local, national, and international levels, helping to maintain relationships and facilitate media coverage.
  • Documentation: Assist in preparing internal and external communication documents, including updates, announcements, and reports, ensuring accuracy.
  • Branding & Logistics Support: Assist in preparing and displaying branding materials to ensure the venue is appropriately set up.
  • Stakeholder Liaison: Act as a point of contact for teams, managers, suppliers, riders, and trainers, offering support and addressing any queries.
  • Administration: Assist in coordinating the printing and distribution of passes for attendees, teams, media, and other stakeholders.
  • Audience Interaction and Experience: Assist in creating interactive areas for event attendees, organising engaging activities such as rider meet-and-greet sessions, and ensuring a memorable and immersive experience for all visitors.
  • On-Site Assistance: Provide support for marketing and media activities and other event-related tasks, ensuring smooth execution and coordination.

THE PERSON

  • Experience in outdoor events/festivals is preferred.
  • Strong organisational and multitasking skills, with the ability to prioritise tasks effectively.
  • Happy to work away from home.
  • Must be willing to work in a “hands-“on Environment.
  • Excellent written and verbal communication skills.
  • Experience in event management or sports communications is advantageous but not essential.
  • Proficiency in Microsoft Office.
  • Happy to experience glamping while working away, in some cases.
  • Ability to work well under pressure and adapt to changing priorities.
  • Strong interpersonal skills, with the ability to collaborate effectively with diverse stakeholders.
  • A positive, “CANDO” attitude and a willingness to assist all teams to ensure successful event execution.
  • Excellent attention to detail across all aspects of your work.
