Practice Manager
28-35 hours per Week
£20-25 per Hour (depending on experience) plus pension contribution
Bourn Surgery is a friendly, successful, dispensing practice serving around 6,800 patients in a rural location nine miles west of Cambridge. We recently won the 2024 RCGP East Anglia Practice Team of the Year award recognising the dedication and expertise of our practice team. We have a strong reputation for providing a high standard of care, and consistently score highly across general practice indicators, including the National Patient Satisfaction Surgery, QOF and patient access. We continually strive to improve the care we offer to our patients and as a result have the backing of our loyal and supportive patient population.
We recognise the many challenges of being a practice manager and are looking for an individual with strong interpersonal and organisational skills, and experience of practice management to support the partners in managing the Practice. Our ideal candidate will be appropriately qualified, confident and possess proven management skills, particularly in HR, IT, and compliance, including CQC and health & safety. They also need to be astute, as well as capable of providing strategic, proactive and innovative support in an ever-changing healthcare environment.
This is a broad and flexible role which may well evolve over time. As a relatively small practice, there is likely to be a requirement to carry out other tasks as the need arises. We anticipate the main focus of the role to be:
Leadership and Supervisory
1. Supporting the GP Partners in the day-to-day management of the practice, ensuring teams achieve their responsibilities effectively and efficiently.
2. Providing support, leadership and guidance for practice staff and department heads with a key focus on staff morale, training and development.
3. Supporting in the recruitment, induction, appraisals and oversight of staff.
4. Ensure rotas are in place for staff and key assets with suitable back up plans in place for any unforeseen events.
5. Deputise for the GP Partners in non-clinical areas when required.
6. Maintain, develop and ensure adoption of our staff training programme, liaising with external organisations as appropriate.
7. Work to maintain, develop and ensure adherence to our policies and procedures within the evolving environment in which we operate. Ensure practice’s procedures meet the expectations of stakeholders including the CQC.
Organisational Management
8. Oversea the administration team to ensure reports, registers and patient recalls are performed to optimise patient care and demonstrate compliance, such as vaccination reports, clinical recalls and QOF/enhanced services reports.
9. Ensure submission of reports, claims and audits in an efficient and timely fashion, and ensure payments and authorisations are received appropriately.
10. Briefing clinicians on performance levels, advising on actions to ensure the highest standards of patient care and achievement.
11. Supporting the dispensary manager in optimising the strategic direction and day-to-day operation of our dispensary.
12. Working collaboratively to develop and manage the relationship with partners and stakeholders such as our Patient Participation Group, our PCN, the federation and the local ICS.
13. Supporting the practice team in dealing with patients who have concerns and complaints, attempting to de-escalate and manage the situation to minimise patient dissatisfaction.
Information management & technology
14. Monitoring and ensuring compliance with health and safety legislation, providing leadership and direction to staff.
15. Managing the clinical system, ensuring IT security and information governance compliance at all times.
16. Working with clinicians to identify, plan and implement change to drive improvements in the provision of our services.
General
17. Supporting teams flexibly where workload or staffing pressures in our small practice necessitate support. This might include answering the telephone to assist reception team, sending urgent referrals and supporting with clinical recall e.g. cervical screening recall lists.

Experience of Primary Care is essential; experience with SystmOne and a Dispensary is desirable but not essential.
