Full job description

Due to expansion we are looking for a full-time Property Coordinator to join our exceptionally busy and dynamic Property Management Department. The department’s aim is to provide an exceptional level of service to both our Landlords and Tenants, as well as to develop excellent working relationships with our contractors.

You will be responsible for your own portfolio of 250 managed properties, dealing with queries and issues throughout a tenancy’s duration from move in to move out, and dealing with such queries and issues in an efficient and timely manner. You will need to be an organised individual, who is an excellent multi-tasker that can prioritise their workload and has a great eye for detail.

Some customer service experience would be desirable, but previous letting agency or property management experience is not essential as full training will be provided, not only at the start of your career but throughout.

Hours: Monday to Friday 9am – 5:30pm

(Some occasional weekend and bank holiday cover may be required - for which time off in lieu will be granted).

Salary Range: £28,000 - £30,000 per annum

Key Responsibilities

  • Arrange and carry out regular inspection of your portfolio of managed properties, ensuring these are properly recorded and reported to clients.
  • Manage property maintenance issues liaising with landlords, tenants and contractors and utilising the management software to its full effect.
  • Prepare end of tenancies relevant section notices where applicable.
  • Arrange and carry out check out reports and deal with utility notifications, dilapidations and deposit disputes.
  • Assist in building a panel of trusted, reliable, regular tradespeople and maintain a good working relationship.
  • Assist with rental arrear issues and complete annual rent reviews.
  • Process rent guarantee claims and attend court hearings when required.
  • Obtain all certificates as they become necessary for all existing managed properties.
  • Obtain, process and upload to system the Public Liability Insurance Certificates for Contractors.
  • Maintain regular telephone contact with tenants following completion of any repairs or property work and update the system so the Landlord’s Propertyfile is also up to date.
  • Ensure the Health and Safety Policy of the company is upheld and the safety of you, colleagues and the general public is maintained at all times both on-site and off-site whilst working.
  • Provide cover for fellow Property Managers during periods of absence or annual leave.

Skills, Knowledge and Experience

  • Computer Literate
  • Good attention to detail and excellent organisational skills
  • Full Driving License and use of own car
  • Team player comfortable working in a busy environment
  • Professional, friendly, and enthusiastic individual
  • Strong communication skills – verbal and written
