Reporting to the Aftersales Manager, you will be an integral part for the success of the overall Service Department performance. While working closely with the Technicians and the Service Administration Team, it is your responsibility to ensure that the administration of Workshop is both effective and efficient. With the assistance of the Service Administration Team you will liaise with customers for all costs/estimates/quotations and will agree same. You will be expected to monitor technician/job efficiency and liaise with the Workshop Supervisors, where there is a likely deviation from what has been agreed with the customer.

Responsibilities & Duties

  • Drive service profitability through the up selling of parts and labour.
  • Ensure that there is a process in place to liaise with the customer by providing cost updates, issuing estimates/quotations, and gaining work authority.
  • Update DMS following customer authority (Labour Time) and ensure that parts etc have been ordered.
  • Ensure that there is a robust process in place so that costs do not exceed that authorised by the customer.
  • Monitor the Technician "clocking system" to identify jobs that are exceeding their allocated time, and with the help of the Workshop Supervisors, address these issues as appropriate.
  • Ensure that there is a robust process in place so that all service documentation is returned to you fully completed and in a timely manner following job completion.
  • All job cards must be checked to ensure that the parts and labour correspond and that the job cards are completed in line with company policy.
  • Ensure that a process is in place to upload service documentation unto the R2C compliance system.
  • Early each working day, and ideally the previous evening, liaise with the Service Administration team and Workshop Supervisors, to determine the job priorities and required workshop throughout for the coming working day.
  • To manage the handover of complex or potentially contentious jobs to the Workshop Supervisors and to ensure a full buy in as agreed with the customer.
  • Pass all fully completed jobs to service costing / warranty / administration for invoicing whilst ensuring that costs are in line with customer expectations, all work hours expended have been documented and that parts have been added.
