Job Title: Part-Time Property Operations & Lettings Manager
Location: Coventry
Working Pattern: Monday, Wednesday, Friday
Working Hours: 9:00 am – 1:00 pm
Pay Rate: £15 per hour
Start Date: Immediate
Important: Please read carefully before applying. We are not looking for a high volume of applicants. We are looking for the right operator who can take ownership of both property operations and room occupancy.
Eligibility
- You must live in or very near Coventry and have your own transport (car or bicycle). Do not apply if you rely on public transport.
- You should have prior experience managing HMO room lets and day-to-day property operations or airbnb
- You must be comfortable handling both backend property management and front-end occupancy responsibilities.
About the Role
We are hiring a part-time, fully independent Property Operations & Lettings Manager to manage our Coventry HMO portfolio of 20 rooms.
You will be responsible for the full day-to-day running of the portfolio, which includes both keeping the houses operationally tight and ensuring rooms are filled.
Because this is a smaller portfolio, we expect full cooperation across all areas of the business connected to these 20 rooms. That means you will not work in silos. You will be expected to support where needed, take ownership of voids, and treat occupancy as part of your responsibility
Your job is to make sure the houses are compliant, maintained, organised, occupied and commercially performing.
Key Responsibilities:
You will manage day-to-day property operations including maintenance coordination, contractor supervision, inspections, compliance tracking, and issue resolution.
You will also be responsible for room occupancy and lettings coordination across the Coventry portfolio. This includes keeping track of upcoming voids, managing availability, following up on enquiries, coordinating viewings, supporting applicant progression, and ensuring rooms are filled with suitable tenants in a timely manner.
You will work to reduce void periods and help maximise rental income across the portfolio. We only have 20 rooms, so full cooperation is required. If a room is empty, it is your responsibility to stay on top of it and push it toward occupancy.
You will handle all paperwork from tenant screening, referencing, right to rent checks, contracts, deposit registration, legal compliance certificates, check-in, check-out, and inventory records.
You will review all current utility accounts across the portfolio and bring them into a structured, centralised system. This includes setting up pending utility accounts, correcting billing structures, aligning supplier details, and ensuring every property has properly recorded and traceable utility documentation. You will identify gaps, overlaps, billing errors, and inefficiencies.
You will review and maintain accurate council tax listings for each property and room configuration where applicable. You will ensure correct registration, correct exemptions where relevant, and proper communication with the council.
You will ensure all HMO compliance obligations are tracked and up to date, including safety certificates, inspections, licensing conditions, and statutory requirements.
You will manage plumbers, electricians, cleaners, handymen, and emergency contractors directly. You are expected to control costs, negotiate quotes where necessary, and supervise quality of completion.
You will conduct regular inspections and document property condition. You will take corrective action immediately when standards drop.
You will review past property data, tenancy logs, inventory records, compliance history, and utility records to ensure everything is structured and traceable. You are expected to clean up operational backlogs and improve documentation standards.
You will manage urgent operational issues when required. Clear judgment is expected in deciding what qualifies as emergency versus non-urgent.
You will work with a commercial mindset. This means understanding that operations and lettings are linked. A well-run property must also stay occupied, and an occupied property must remain well-managed.
Expectations:
This is a hybrid role involving field work, property visits, viewings, coordination, and admin. It is not remote-only.
You must work independently. There will be handover support, but no formal training. You are expected to already understand HMO operations, room lettings, compliance, and day-to-day housing management. We will not teach you the basics of compliance or occupancy management.
You must bring structure. This role includes fixing legacy inefficiencies, improving records, tightening systems, and staying on top of both operations and occupancy.
You must be commercially aware. Filling rooms is not optional in this role. Even though the portfolio is small, it must be managed properly from both an operational and revenue point of view.
You must be flexible in your mindset. With only 20 rooms, we expect someone who will fully cooperate and do what is needed for the portfolio to run properly, rather than saying “this is not my area.”
A car and full driving licence is mandatory.
Progression
As the portfolio grows, this role may expand into a more senior position overseeing multiple locations or a larger blended operations and lettings function.
Compensation & Benefits
You will receive fixed hourly pay as stated above, together with statutory pension contributions and National Insurance contributions in line with UK employment regulations.
A fuel allowance will be provided, capped at £20 per month. This is intended to support essential property-related travel only and is not an open-ended reimbursement.
In addition, a quarterly performance-based bonus of £100 will be payable if monthly targets and agreed KPIs are consistently achieved during the relevant quarter. Bonus eligibility is conditional upon meeting performance standards, maintaining operational compliance, and supporting occupancy performance across the portfolio.
Equipment & Systems
As this is a part-time position, the Company does not provide a mobile phone or laptop at this stage. You are expected to use your own devices for day-to-day work.
All calls will be handled through our cloud-based phone system, meaning your personal number will not be shared with tenants, contractors, or third parties.
You will be provided with access to the Company’s secure digital workspace, and all documents, communication, and records must remain within Company systems at all times.
If the role expands or is converted into a full-time senior position in the future, company-issued equipment may be reviewed at that stage.
