As part of our continued expansion, we deliver transport services for a range of contracted partners, including the movement of individuals and families who require safe, reliable and well-coordinated journeys for essential appointments and relocations.

We’re looking for a Dispatch Coordinator to join our team – someone calm under pressure, confident in a fast-paced environment, and able to communicate clearly to keep our operations running smoothly.

The Role

As a Dispatch Coordinator, you’ll play a vital part in ensuring our transport services run efficiently and safely. You will coordinate time-sensitive journeys, including scheduled relocations, welfare-related appointments, and other essential travel needs for our contracted clients.

The role involves maintaining accurate digital records, updating two separate systems (iCabbi and Athens), and keeping information flowing smoothly between drivers, clients and internal teams. You’ll need to be confident with technology, proactive in your approach, and capable of handling a high volume of multitasking throughout the day.

Key Responsibilities

  • Receive and process booking requests
  • Schedule and dispatch drivers for planned and short-notice journeys.
  • Coordinate essential travel, including moves to new accommodation, health-related appointments, and other contracted transport provisions.
  • Perform regular data entry and record updates across both iCabbi and Athens systems, ensuring accuracy and consistency.
  • Monitor trips in real time and provide drivers with updates, including route changes, delays, or urgent amendments.
  • Resolve issues quickly and effectively to minimise disruption.
  • Maintain detailed and accurate logs of bookings, client information, and driver assignments.
  • Communicate professionally and sensitively with drivers, clients, and colleagues.
  • Use iCabbi dispatch software and Athens tracking systems to allocate vehicles efficiently and optimise routing.
  • Support overall fleet performance with a focus on safety, duty of care, and high-quality service delivery.

About You

  • Experience in dispatching, logistics, coordination or transport operations (preferred but not essential).
  • Highly organised with excellent attention to detail.
  • Strong multitasker with the ability to manage multiple systems and conversations simultaneously.
  • Self-driven and proactive, able to make confident decisions and prioritise workloads.
  • Excellent verbal and written communication skills.
  • Technologically adept — comfortable navigating dispatch platforms, GPS systems, and data-driven processes.
  • Calm, professional, and solutions-focused under pressure.
  • Able to handle sensitive information with discretion.

Monday to Friday
9am to 6pm
