Overview
We are seeking a highly organised and proactive Personal Assistant to support our CEO in daily operations. The ideal candidate will possess exceptional administrative skills, a keen attention to detail, and the ability to manage multiple tasks efficiently. This role is pivotal in ensuring the smooth running of the executive office and requires a professional with excellent communication skills and a strong understanding of various software applications.

Responsibilities

  • Provide comprehensive administrative support to the CEO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Prepare and organise documents for meetings, ensuring all necessary materials are available and presented professionally.
  • Maintain accurate records and files, including data entry into QuickBooks and other relevant systems.
  • Assist with project management tasks as directed by the CEO, including tracking progress and reporting updates.
  • Handle correspondence with internal and external stakeholders, demonstrating excellent phone etiquette and professionalism.
  • Perform clerical duties such as filing, photocopying, and managing office supplies to ensure an efficient working environment.
  • Utilise Google Suite and Microsoft Office applications to create presentations, spreadsheets, and reports as needed.

Qualifications

  • Proven experience in an administrative or personal assistant role is essential.
  • Proficiency in Google Suite and Microsoft Office applications is required; familiarity with QuickBooks is a plus.
  • Strong organisational skills with the ability to prioritise tasks effectively in a fast-paced environment.
  • Excellent verbal and written communication skills, demonstrating professionalism in all interactions.
  • Attention to detail with a commitment to maintaining high standards of accuracy in all work produced.
