About The Dwelling Doctors

At The Dwelling Doctors, we work with housing associations and local authorities across the UK to tackle damp, mould, and ventilation issues in homes that need it most. With contracts across London, the South East, and further afield, we are growing quickly — and we’re looking for a proactive Planner to help us deliver exceptional service to our clients and tenants.

This role combines account management with operational scheduling. You’ll act as the main point of contact for certain housing clients, while also managing the diaries of our surveyors and operatives to ensure smooth delivery of works.

What You’ll Be Doing

Client Account Management

  • Act as the day-to-day contact for a portfolio of social housing clients.
  • Proactively manage contract delivery, KPIs, and service-level expectations.
  • Attend review meetings, provide updates, and resolve issues with tact and urgency.
  • Identify opportunities to improve client satisfaction and strengthen relationships.

Scheduling & Coordination

  • Schedule appointments for Surveyors and Remediation Operatives to carry out assessments and works.
  • Prioritise urgent work orders (e.g., severe mould cases) and minimise disruption to tenants.
  • Manage work orders in SIMPRO (training provided) — creating, assigning, updating, and closing jobs.
  • Monitor cancellations, reschedules, and changes, adjusting plans accordingly.

Communication & Liaison

  • Liaise with tenants to confirm appointments and answer scheduling queries.
  • Work closely with internal teams to keep projects running smoothly.
  • Ensure any health & safety requirements are communicated before jobs are attended.

Reporting & Continuous Improvement

  • Maintain accurate records and provide regular progress reports.
  • Identify opportunities to improve scheduling efficiency and client service.
  • Support the collection of tenant feedback and act on findings.

What We’re Looking For

  • Previous experience in social housing, property maintenance, or compliance (desirable).
  • Background in scheduling, coordination, or account management.
  • Strong organisational and time-management skills.
  • Excellent communication and relationship-building ability.
  • Confident with CRM or scheduling tools (SIMPRO experience a bonus).
  • Knowledge of the National Schedule of Rates (SOR) is an advantage.
  • Proactive, solutions-focused, and able to manage competing priorities.
  • A genuine interest in improving housing standards and tenant wellbeing.
