OFFICE ADMINISTRATOR

West Sussex Office Furniture Ltd – a manufacturing distributor in commercial office and educational furniture, based in Chichester – is seeking an enthusiastic and organised Office Administrator to join our friendly sales team.

This role is perfect for someone with office experience who wants to develop their career in a relaxed, supportive manufacturing environment. You'll start by focusing on administration duties, with the opportunity to progress to generating quotes as you build your knowledge of our products.

About the Role

As an Office Administrator, you'll work alongside another Office Administrator, sharing the workload and supporting our sales team with essential administrative tasks. You'll be the vital link between our customers and our operations team, ensuring smooth processes from enquiry through to order completion.

Full training will be provided on our products, systems, and processes – we're looking for someone eager to learn and progress within the business.

Main Duties and Responsibilities:

Customer Engagement & Support:

  • Be a point of contact for customer enquiries via phone, email, and video calls
  • Build rapport with clients and colleagues
  • Provide excellent customer service at all touchpoints
  • Resolve customer issues and concerns in a professional and timely manner

Sales Administration:

  • Process customer orders onto our internal ERP/manufacturing system
  • Carry out contract reviews to ensure orders match customer purchase orders and specifications
  • Send order acknowledgements via email to customers
  • Manage a shared mailbox efficiently
  • Maintain and organise product images and documentation
  • Chase up outstanding quotes

Quoting (with progression):

  • Once product knowledge is developed, generate professional quotes for standard and bespoke furniture projects
  • Accurately calculate prices based on materials, labour, and desired profit margins
  • Format and present quotes with relevant information and product images

Cross-Departmental Collaboration:

  • Work closely with the design team to understand manufacturing capabilities
  • Liaise with the purchasing team regarding supplier lead times and material availability
  • Build strong working relationships across all departments

Product Knowledge & Development:

  • Build comprehensive knowledge of our product range through training and hands-on experience
  • Understand standard componentry and what's available to source externally

What We're Looking For:

Essential Skills & Experience:

  • At least one year's experience in an office-based role
  • Good IT skills with proficiency in Microsoft Office (Outlook, Word, Excel)
  • Numeracy skills for calculations and data entry
  • Confident telephone manner with the ability to build rapport easily
  • Strong attention to detail, particularly when processing orders
  • Good communication skills, both verbal and written
  • Ability to work well under pressure and prioritise tasks
  • Methodical approach with ability to organise your workload
