Property Admin and Inspection Officer
Job Overview
City Borough Housing is seeking to appoint a Property Admin and Inspection Officer. You will be responsible for the administration and clerical duties required to ensure efficient service delivery to both landlords and tenants. The job will also include quarterly property inspections of the company’s property portfolio to ensure the properties meet the required property standards.
The companies property portfolio is mainly based in South East London with some accommodation in East London and parts of Kent. The successful candidate will need to hold a full driving license and have their own vehicle.
We are looking for somebody who has ideally at least 2 year’s experience in property management or a property related role in a local authority or housing association.
Duties & Responsibilities:
To carry out quarterly property inspections, ensuring that properties comply with statutory and best practice health and safety standards and the agreed property standards, and specifying works to be carried out where necessary.
Logging and coordinating repairs with tenants and contractors within a timely manner and following up on all jobs to ensure that they are completed to the required standard.
Ensuring properties are clean, ready and fit for purpose meeting compliance and regulations by working closely with the Management Team.
Completing tenant check ins with nominated tenants and ensuring they are aware of their responsibilities as a tenant.
Developing good relationships with key personnel in Local Authorities and Housing Associations.
Ensure all properties have the correct and in date certification and are compliant to the current guidelines.
Chasing new certificates once the existing ones are approaching expiry.
Working alongside contractors to ensure properties are well maintained.
Inspecting properties prior to cancellations to highlight any damage caused by the clients so costs can be pursued immediately.
Maintaining the property database and ensuring all notes and documents are uploaded, as well as all property and tenant information.
Responding to incoming emails and phone enquiries.
Completing property inspections forms and taking photos of properties.
To effectively report, as required, on performance, against targets.
Provide a comprehensive tenancy sign up and sustainment service to ensure placements are sustained.
Ensure all properties are maintained to a high standard, investigate persistent disrepair complaints and/or to take property inventories.
Be responsible for ensuring all landlords and tenants comply with their respective contractual agreements.
Carry out post check out inspections when tenants vacate a property.
Attend inspections with Bailiffs in order to recover position.
Maintain accurate written and electronic records/information with regard to properties, landlords and tenants including general contact information and any other relevant information associated with delivering a seamless service, keeping this information up to date at all times, and providing detailed reports as requested by management.
Ensure utility and Council tax departments are updated with changes in tenancy and liability in order to avoid risk of summons.
Ensure that lone working device is used when on visits.
Deliver a stream lined high quality customer focused service ensuring telephone calls, emails, letters and complaints are fully responded to promptly and to the highest possible standard as instructed by the General Manager and Property Manager.
Carry out inspections of properties and communal areas in a lone working capacity, identifying and reporting repairs or concerns.
Draft paperwork and contracts to be sent to landlords.
Out of hours duty when required.
Any other administration task required by the Property Manager.
