Full job description

Property Administrator

quicklet
433 Lisburn Road, Belfast

At quicklet, we don’t just manage properties – we build relationships and deliver results for people. From tenants to landlords, we believe success comes from trust, hard work, and doing things the right way.

With a pending acquisition and continued growth, we’re expanding our team in our Belfast office and looking for a Property Administrator who is organised, proactive, and eager to grow. This role will cover accounts, lettings and property administration.

If you thrive in a fast-paced environment and value graft, grit, and gumption as much as professionalism and respect, we’d love to hear from you.

What you’ll do:

Accounts & General Administration

  • Process supplier invoices and upload them to the accounts system.
  • Reconcile payments, receipts and help prepare landlord statements and monthly reports.
  • Keep financial records accurate and flag any discrepancies.
  • Support rent-chasing by updating payment records and noting arrears.
  • Manage incoming calls, emails and general enquiries.
  • Prepare documents, letters and contracts when needed.
  • Maintain organised digital filing systems and ensure GDPR compliance.

Lettings Administration

  • Prepare tenancy application packs and supporting documents.
  • Complete tenant referencing and keep applicants updated.
  • Draft and issue tenancy agreements
  • Arrange move-ins, key handovers and check-in documentation.
  • Upload tenancy details to the CRM system accurately.
  • Support property advertising across portals, boards and website.
  • Communicate with prospective tenants and landlords professionally.

Develop into Property Management Administration

  • Log maintenance requests and coordinate contractors.
  • Obtain quotes, monitor works and follow up on outstanding jobs.
  • Manage compliance across the portfolio, including GSC, EICR and EPC renewals.
  • Keep property files and compliance documents up to date.
  • Assist with scheduling inspections and updating reports.
  • Support arrears management by tracking payments and reporting issues.

What we’re looking for:

  • Strong organisational skills with excellent attention to detail.
  • Confident communicator who can handle calls, emails and customer queries professionally.
  • A proactive problem-solver with initiative, resilience and a can-do attitude.
  • Comfortable multitasking in a fast-paced environment.
  • IT confident and able to learn new systems quickly.
  • Experience in property, lettings or accounts is desirable but not essential—training will be provided.

Why join quicklet?

At quicklet, we live by our values:

Graft, Grit, Gumption – We work hard, stay resilient and take smart initiative.
Respect & Professionalism – We treat people the right way and set high standards.
Results Driven – We focus on outcomes that genuinely make a difference.

You’ll be part of a supportive team that values growth, collaboration and ambition, with a clear pathway to develop across accounts, lettings and property management.
