Receptionist / Administration Assistant

Located at Dransfield House, Fox Valley Shopping Centre, Sheffield S26 2AB

We are looking to recruit a friendly, professional and organised Receptionist / Administration Assistant to join our existing administrative team at our Fox Valley Head Office in Sheffield.

The successful candidate will have previous experience in a similar role and be comfortable responding to management requests within a busy, fast-paced office environment. They will have excellent communication, organisational and IT skills, with the ability to use their own initiative, prioritise workloads and adapt quickly to a varied range of duties.

Main Responsibilities

  • Answering incoming telephone calls and directing enquiries to the appropriate person or department
  • Welcoming visitors and providing a professional and friendly reception service
  • Organising meetings, issuing calendar invitations and booking meeting rooms
  • Preparing meeting rooms, refreshments, agendas and meeting packs
  • Monitoring general office email inboxes and responding to or forwarding enquiries
  • Collecting, sorting and distributing incoming post
  • Preparing and arranging outgoing post, recorded deliveries and couriers
  • Completing general filing, scanning, photocopying and shredding
  • Maintaining accurate electronic and paper-based records
  • Carrying out basic data entry and updating internal spreadsheets and databases
  • Placing orders through various websites on behalf of the company
  • Keeping office stationery, kitchen supplies and other essential items organised and fully stocked
  • Liaising with suppliers and obtaining quotes where required
  • Supporting travel arrangements and accommodation bookings
  • Assisting with the preparation and formatting of letters, reports and other documents
  • Providing general diary and administrative support to managers and colleagues
  • Supporting the organisation of company meetings, events and staff activities
  • Maintaining a tidy, organised and presentable reception area, meeting rooms and general office spaces
  • Reporting office maintenance issues and helping to coordinate contractors and repairs
  • Running occasional errands to support the needs of the business
  • Providing administrative support to the Estates, Operations and PR departments when required
  • Undertaking any other reasonable administrative duties requested by management

Skills and Experience

The successful candidate should be able to demonstrate:

  • Previous experience in a reception, administration or office support role
  • A friendly, professional and confident manner
  • Excellent written and verbal communication skills
  • Strong organisational skills and attention to detail
  • The ability to prioritise tasks and manage a varied workload
  • Confidence using Microsoft Outlook, Word and Excel
  • The ability to work independently and as part of a team
  • A flexible and proactive approach to work
  • Discretion when handling confidential or sensitive information
  • A full UK driving licence with access to a vehicle

Hours and Benefits

  • Monday to Friday, 8.30am to 5.30pm office based
