Receptionist / Personal Assistant to Director - Hourly Wage

About the Role

We are seeking a highly organized and adaptable individual to join our property business as a part-time Receptionist and Personal Assistant to the Director. Based at our self-storage facility, this dual role offers exposure to a dynamic business managing self-storage operations, property development projects, a residential and commercial rental portfolio, and serviced office spaces.

This position requires exceptional multitasking abilities, strong organizational skills, and the ability to manage diverse responsibilities across on-site reception duties at the self-storage facility and broader executive support for the director.

Our director oversees several complementary property businesses spanning self-storage facilities, property development and refurbishment projects, a substantial rental portfolio, and serviced professional spaces. Reception & Front Office (Self-Storage Facility & Air BnB Rental Properties)

  • Greeting customers, visitors, and contractors at the self-storage facility and Air BnB properties on-site.
  • Managing customer inquiries about storage units, pricing, and availability
  • Processing bookings, move-ins, and move-outs for storage customers and air bnb tenants
  • Managing incoming calls, emails, and general correspondence
  • Handling front desk operations and maintaining a welcoming, secure environment
  • Managing facility access, security procedures, and customer check-ins
  • Coordinating with maintenance and contractors for facility operations i.e. cleaner
  • Managing office supplies and ensuring reception area is well-organized
  • Assisting customers with payments, account queries, and general support
  • Monitoring late payments and implementing collection procedures

Personal Assistant Duties

  • Managing the director's appointments and commitments alongside business schedule
  • Providing comprehensive day-to-day support to the director
  • Handling confidential information with appropriate discretion
  • Acting as first point of contact for calls, emails, and visitors
  • Assisting with invoicing and payment processing using Xero accounting software (comprehensive training provided)
  • Reconciling rental accounts across multiple properties and business units
  • Supporting social media presence and digital marketing initiatives
  • Managing one-off assignments with attention to detail and efficiency

Person Specification / Essential Qualifications & Experience

  • Proven experience as a Receptionist / Personal Assistant (minimum 2+ years)
  • Demonstrated experience in administrative roles requiring high levels of organisation
  • Proficiency with Microsoft Office suite, with advanced Excel skills (pivot tables, formulas, data analysis)
  • Excellent written and verbal communication skills with impeccable grammar
  • Experience handling confidential information with discretion
  • Proven ability to work independently and take initiative
  • Exceptional attention to detail and accuracy
  • Strong time management skills and ability to prioritise effectively

Working Arrangements

  • Flexible working hours (25-40 hours per week) including working on weekends
  • Office-based presence
  • Ability to adapt schedule according to business requirements
