Full job description

The Role

We are looking for a highly organised, proactive Events Officer to play a key role in delivering our in-person educational programmes, workshops, national roadshows and partner events.

The Events Officer will sit within the Communications team and work closely with colleagues across all areas of the Trust, including education delivery, partnerships, fundraising and operations. As a small, hands-on team, this role requires a flexible and collaborative approach, with a willingness to get stuck in and support a wide range of activities as needed.

This is an excellent opportunity for a confident, hands-on events professional who enjoys working in a small team, is comfortable juggling logistics and administration, and thrives on delivering impactful, experiential events in the charity and education sector.

The role is full-time and hybrid, combining office-based working at our Portsmouth HQ, remote working, and regular travel to deliver events across the UK.

Key Responsibilities

Event Delivery

  • Support the planning, preparation and on-the-day delivery of multiple educational workshops, roadshows and partner events.
  • Manage communications with schools, teachers and event partners, including processing bookings and coordinating attendance.
  • Assist with all event logistics, including travel arrangements, venue liaison, equipment preparation, set-up and pack-down.
  • Act as a professional and confident representative of the 1851 Trust at events, engaging with young people, teachers and partners.
  • Collect feedback and evaluation data at events and support impact measurement and reporting in collaboration with the communications team.
  • Ensure all events are delivered safely and in line with safeguarding, health & safety and risk assessment requirements, including obtaining any necessary consents and approvals.

Event Administration

  • Maintain accurate event schedules, calendars, bookings and documentation.
  • Support monitoring and evaluation processes, including feedback forms, data entry and reporting.
  • Manage equipment inventories, maintenance and asset registers, coordinating stock checks before and after events.

General Support

  • Work with the Communications team to prepare and produce materials and resources for both in-person events (branding, printing) and digital programmes (powerpoints, PDFs).
  • Provide administrative support across the Trust as required, including database updates, filing and internal coordination ensuring GDPR compliance.
  • Identify opportunities to improve efficiency and reduce costs.
  • Research / Interest in the education industry / live experiential education programmes.
  • Represent the 1851 Trust professionally at all times.

About You

We are looking for someone who is:

  • Highly organised, with strong attention to detail.
  • Proactive, reliable and able to work independently as well as part of a small team.
  • Able to work under pressure and find solutions when things go wrong – Plan A & Plan B.
  • Confident working with young people, teachers and professional partners.
  • Clear and professional in written and verbal communication.
  • Flexible and willing to travel, including early starts and occasional overnight stays.
  • Positive, enthusiastic and motivated by the Trust’s mission.

Essential Skills & Experience

  • Experience in administration, customer service or event support.
  • Strong organisational skills and the ability to manage multiple tasks and deadlines.
  • Good IT skills, including Microsoft Office and/or Google Workspace.
  • A full UK driving licence.
  • An up-to-date DBS Check Certificate.

Desirable

  • Experience delivering or supporting events or logistics.
  • Experience working with young people or within an education or charity setting.
  • An interest in STEM subjects, sustainability and/or sport.
