5D Gryphon Real Estate is a boutique property company based in Knightsbridge, specialising in the management of prime central London residential properties on behalf of private landlords. We are a small, close-knit team with a hands-on approach, where each team member plays an important role and has direct exposure to all aspects of the business.

The Role

We are seeking a proactive and highly organised Property and Operations Manager to oversee a mixed portfolio of long-term residential lettings. The successful candidate will act as the main point of contact for landlords, tenants, estate agents and contractors, managing the full tenancy lifecycle from enquiry through to move-out.

The role requires strong communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment while delivering a high standard of service.

This role needs someone available immediately or within 2 weeks.

Key responsibilities

• Market properties across online platforms and through established estate agency networks
• Conduct market appraisals and advise landlords on appropriate rental values and market positioning
• Negotiate tenancy offers, agree terms, and obtain landlord approval
• Prepare and issue tenancy documentation, including tenancy agreements, renewals, variations, and statutory notices
• Carry out applicant referencing, affordability assessments, and Right to Rent checks, and coordinate landlord approvals
• Coordinate all aspects of move-ins and move-outs, including inventory reports, deposit registration, deposit releases, and dispute resolution
• Arrange utility account transfers and meter readings at the start and end of tenancies, ensuring all balances are settled
• Coordinate cleaning, maintenance, and remedial works before and after tenancies
• Ensure all pre-tenancy compliance requirements are completed prior to move-in, including EPC, Gas Safety, and EICR certification
• Respond to tenant queries and complaints in a professional and timely manner
• Maintain accurate tenancy, maintenance, and compliance records across internal systems and databases
• Build and maintain strong professional relationships with landlords, tenants, contractors, and agency partners
• Coordinate maintenance and repair works, including arranging contractor access, obtaining quotations, and monitoring completion and quality of works

Essential Requirements

• Minimum 1 year of experience in residential property management or within a lettings agency
• Strong knowledge of UK lettings legislation and tenancy compliance
• Good computer literacy, including experience using CRM systems and property management software
• Excellent written and spoken English communication skills
• Russian language skills are essential

Pay: From £30,000.00 per year
