Broadwater Medical Centre – Job Description
Job Title: Administrator – Scanning & Clinical Coding (Previous SystmOne experience desirable)
Reports to: Administration Manager
Hours: 37.5 hours/week (10am - 6pm Monday to Friday)
Job Summary
To scan and record relevant information from the patient’s clinical records into the Practice computer system, working strictly in accordance with the standard operating procedure.
In addition, the post holder will also support the multi-disciplinary team providing administrative support as required in line with the needs of the organisation.
Main Duties & Key Tasks
The following are the core responsibilities of the Administrator scanning and clinical coder. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:
- Reviewing medical records and producing an accurate summary of the patient’s medical history
- Accurately clinically coding data on TPP into the patient record
- Scanning all incoming post from hospitals, clinics and other services
- Scanning of patient related documentation and attaching scanned documents to patients’ healthcare records
- Ensuring that all scanned documents are stored securely for the allotted time and then disposed of in a secure manner as per the
- Information Governance policy
- Undertaking annual mandatory training updates relating to data quality and information governance
- Answering incoming telephone calls, transferring calls or dealing with the caller’s request appropriately
- Maintaining a clean, tidy, effective working area at all times
- Supporting all clinical staff with general administrative tasks as requested
- Actioning all incoming correspondence, emails and mail in a timely manner
- Assist with registrations of new patients
- Support the admin team with private insurance queries and ensure they are dealt with in a timely manner
Secondary responsibilities
- Book appointments
- Support reception staff, providing cover during staff absences
- Support pharmacy team in dealing with prescription queries
