Full job description

Hapendian is developing a psychology and relationship education knowledge system and is looking for a careful, reliable Source Production & Document Assistant to help prepare and maintain research and book material for internal use.

This is not a research or writing role. It is primarily a document-production and administrative role involving Word documents, source material, AI/OCR transcription tools and organised file management.

You will work from clear written procedures, templates and examples. Accuracy, patience, consistency and attention to detail are much more important than specialist knowledge of psychology.

Main responsibilities

Your work may include:

  • Capturing screenshots or source text from digital books and documents
  • Using Hapendian-approved AI/OCR transcription tools to extract text
  • Copying and preparing extracted text in Microsoft Word
  • Applying agreed Hapendian document formatting and templates
  • Checking paragraphs, headings and obvious transcription errors
  • Identifying missing, duplicated or suspicious text and flagging it for review
  • Reformatting older documents to current Hapendian standards
  • Completing agreed Microsoft Word Properties and document metadata
  • Checking document titles, filenames and version information
  • Saving documents using agreed naming conventions
  • Uploading, moving and organising working documents within SharePoint
  • Updating simple production and completion trackers
  • Preparing documents for internal review
  • Making straightforward document corrections following review

You will not be expected to make academic judgements, conduct research or rewrite source material.

You will need

  • Excellent attention to detail
  • Confidence using Microsoft Word
  • Good written English
  • Patience with repetitive and detail-focused work
  • Ability to follow written instructions and procedures carefully
  • Good basic computer and file-management skills
  • Reliability and discretion
  • Ability to work independently once trained

Remote working requirements

Remote applicants must have:

  • Regular access to their own suitable Windows PC or Mac
  • A reliable broadband internet connection
  • A reasonably private working environment
  • The ability to use Microsoft 365 and browser-based applications
  • Willingness to use a Hapendian Microsoft 365 account and multi-factor authentication

Previous experience of SharePoint or OneDrive is useful but not essential, as guidance will be provided.

Work must be carried out using Hapendian-approved systems and processes. Company material should not be uploaded to unapproved AI, cloud-storage or file-sharing services.

Helpful but not essential

Experience in any of the following would be useful:

  • Document production
  • Administration
  • Publishing
  • Proofreading
  • Transcription or OCR
  • Microsoft SharePoint or OneDrive
  • Research-document handling
  • AI-assisted document processing

An interest in psychology, relationships, education or wellbeing would also be welcome but is not required.
