The Company: Enterprise ForLife Limited

X-Forces Enterprise (XFE) and X-Emergency Services (XES) are two separate brands helping members of the military and emergency service communities respectively. These communities consist of service leavers, veterans and their family members. Both these brands and their respective organisations are part of the same group; Enterprise ForLife Limited and they have a primary focus on supporting individuals to transition into self-employment and business ownership. The organisations support people in launching their business idea through the provision of business advice, training, access to a knowledge base, access to loan funding, networking and mentoring.

We are a delivery partner for various community stakeholders who fund the events we organise. We deliver over 100 training and/or networking events a year; either on-line or face-to-face. You will be the primary administrator for all these events. We are supported by and work with many well-known corporate organisations, including; NatWest, Cisco, Facebook, Amazon and Rolls Royce.

The Role

At Enterprise ForLife, you will be assisting the ex-military, ex-police, ex-fire and ex-emergency services communities with their transition journey into self-employment. You will be a key member of a driven and focused team who are working to ensure efficient delivery of training courses and other ad-hoc events.

We are looking for a diligent, helpful, enthusiastic, and approachable individual to provide key administrative support to the Learning, Development and Community Events Manager.

Roles and Responsibilities:

Managing forecast of events:

  • Liaising with team members to understand where there is a need for such events
  • Identify and manage diary conflicts
  • Ensure central documents up to date at all times
  • Monitor forthcoming events and initiate key activity
  • Venue booking e.g. Corporate Partners venues

Arranging appropriate staff cover:

  • Liaise with relevant team members to ensure availability
  • Ensure correct and timely information passed
  • Alert management team to potential staffing problems
  • Manage transport and accommodation requirements where necessary

Assisting with marketing and promotion:

  • Support planning of marketing campaign, including preparation of posters and Zoho Backstage management,
  • Ensure timely engagement with potential attendees once identified, making and recording of calls, sending follow-up emails, and text messages
  • Assist with social media and website output

Preparing necessary training and promotional materials:

  • Understand requirements for materials
  • Manage simple edits and amendments where necessary for both trainer and delegate materials
  • Arrange timely distribution to the delegates

Stakeholder Onboarding:

  • Liaise via email and telephone with course attendees both prior to and during events to ensure engagement.
  • Liaise via email and telephone with members and mentors to ensure registration on the Knowledge Exchange Hub.
  • Arrange mentoring calls as appropriate with members of the team and the volunteer network.

Assisting during the workshop:

  • If required, travelling to the workshop beforehand to set-up
  • Ensuring all attendants are present and contacting those who are not
  • Clearing up of event location

Carrying out follow-up activity:

  • Ensure timely and appropriate correspondence with participants post-event
  • Record individual outcomes
  • Conduct data entry to Zoho CRM
  • Advise on suitable cohorts for future events
  • Produce data analysis for management reporting
  • Monitor progress and conduct handover to other team members where appropriate

The Applicant Requirements

Essential:

· Excellent organisation skills to keep plans, records and data; safe, up to date and complete.

· Strong written and verbal communication skills to keep various stakeholders aligned and updated.

· Proactively thinking ahead to ensure the details around all events have been dealt with.

· A keen interest in business and economics.

· Understanding of different needs and different priorities on administrative roles and responsibilities.

· Confidence to deal with changing priorities and make the right decisions for the events, the stakeholders and the company.

· Collaborative and respectful mindset towards teamwork.

Job Type: Full-time

Salary: £24,000.00 per year
