Superstars are looking to recruit a full-time Events and Partnership Coordinator based in our modern office in Marlow, Buckinghamshire.

Superstars provide bespoke luxury experiences, hospitality, artwork and memorabilia which we sell through both a retail capacity and our Silent Auction services. This happens at some of the most prestigious and sought-after events across the world which include high profile charity dinners, business awards and prestigious sporting events worldwide. We pride ourselves on going the extra mile to deliver the very best service to all our customers. We offer a seamless service from start to finish with an extremely high level of attention to detail.

We are seeking a dedicated full-time Events and Partnership Coordinator to join our expanding team in a newly created role. The right candidate will support the Head of Experiences to deliver bespoke, flagship events. You must have experience working in the events industry and be able to handle multiple events at one time. This is an amazing opportunity for someone seeking ownership and delivery all aspects of our events as well as giving creative input into existing and new events. Alongside the Head of Experiences, you will assist in new experience development.

You will need to extremely organised, be able to think proactively, be able to communicate effectively with all stakeholders and enjoy a fast paced environment.

Key Responsibilities

Owning the Event Process - You will be given your own portfolio of our flagship events to manage. This will involve working with internal teams such as sales, marketing and finance, whilst also being the key point of contact with the suppliers and clients.

Customer Champion – Be the main point of contact for clients, ensuring they have everything they need ahead of their experience and assist with any special requests in the lead up. You’ll play a key part in building rapport and customer engagement. You’ll be required to understand customers’ needs and provide tailored solutions to maximise customer satisfaction.

Event Execution – Ensuring the event runs smoothly onsite and being present at the events. Collaboration with on-site operations teams, venues, caterers and event staff is key.

Handle Logistics – Ensuring the smooth running of the event maximising the clients enjoyment. This will include ensuring the clients have everything they need in advance of and on the day of the event to ensure a smooth experience for clients. Requirements differ from event to event but this could be distributing tickets either in advance of an event or in an organised manner onsite, liaising with transfer companies ensuring timely arrival for clients and having clear communication channels with suppliers and clients in the lead up to and on the day of an experience.

Financial Follow Up and Budget Reporting – Working closely with the finance team and Head of Experiences to ensure invoices are paid in advance of an event and all costs are tracked throughout reporting on liabilities.

Process Improvement – Suggest new ways to streamline admin tasks and enhance the customer experience.

Risk Analysis – Escalate any risks or issues that would impact the success of an event.

Research and Development – We’re always looking to introduce exciting new experiences into our event portfolio. You’ll support Head of Experiences in researching, developing and bringing to life new ideas to sit alongside our Flagship Events. A perfect avenue to bring your creative side!

Ideal Person

  • Ideally, a degree in Hospitality or Event Management.
  • At least 2 years’ experience working with events.
  • A people oriented approach and strong teamwork skills.
  • Excellent attention to detail.
  • The company is growing quickly and you must be someone who enjoys change, a fast paced environment and willing to work across all departments within the business.
  • Strong communication and interpersonal skills with a professional demeanour.
  • Flexibility in your schedule, typically working 5 days per week (Mon-Fri) with some travel and some evening/weekend work.
  • Enthusiastic and positive attitude with a proactive approach.
  • Good understanding of Microsoft Office including Excel.

Package & Benefits

Salary: £30k - £32k (depending on experience)

Monday – Friday, 9am – 5:30pm, office based.
