The Role

We are looking for a Project Coordinator to support our Passive Fire Division, which delivers fire stopping, fire door and compartmentation projects. This is a full-time, permanent role, Monday to Friday. It is based at our Swindon office with occasional visits to live sites, and reports to the Project Manager.

You will support 3 to 5 live projects at any one time. You will look after the paperwork, trackers and bookings that keep each job on programme, so the Project Manager has more time on site and with clients. Your main duties are to:

• Set up and maintain the project file for each live job, including contracts, drawings, programmes, RFIs and variations
• Keep programme and progress trackers up to date and flag any slippage to the Project Manager
• Book installers and subcontractors, plan material orders and deliveries, and raise purchase orders for approval
• Collect, check and file RAMS, permits, training and CSCS records before work starts, and keep fire stopping, fire door and certification records complete
• Compile weekly project status reports and act as first point of contact for routine queries from clients, subcontractors and site teams
• Collect progress information for the Quantity Surveyor and check subcontractor invoices against orders before they go for approval
• Prepare completion and handover packs, including certificates, test records, photographs and O&M information

Site visits need PPE and compliance with the client’s site rules. The work is fast-paced, with busier periods around weekly reporting, applications for payment and project handovers.

Skills

Essential

• Clear written and spoken communication with clients, subcontractors and site teams
• Accurate record keeping and document control
• Planning and prioritising work across several live projects
• Working knowledge of Excel (formulas, filters, trackers), Word and Outlook
• Basic numeracy for quantities, budgets and progress percentages
• Chasing and following up until a task is closed

Desirable

• MS Project, Power BI or other project management software, reading construction drawings and fire strategy information, producing reports from tracker data

Knowledge

Essentia

• GCSE English and Maths at grade 4 (C) or above, or equivalent
• Basic understanding of construction site Health & Safety, including RAMS, permits and toolbox talks
• Awareness of CDM 2015 duties on a construction project
• Awareness of the Building Safety Act 2022 and why competence and record keeping matter

Desirable

• Level 3 qualification in business administration, project support or construction, or APM Project Fundamentals Qualification; understanding of passive fire protection (fire stopping, fire doors and compartmentation); awareness of FIRAS or IFC third-party certification; IOSH Working Safely, Emergency First Aid at Work or CSCS card; awareness of asbestos registers and their use on site

Experience

Essential

• At least 1 year in a project coordination, contracts administration or site support role in construction, building services or contracting
• Supporting more than one live project at the same time
• Working with subcontractors, suppliers or site teams

Desirable

• Passive fire, fire doors, social housing or interior fit-out
• Preparing handover documentation or O&M packs
• Raising purchase orders and matching delivery notes and invoices
• Coordinating work for a Project Manager or Contracts Manager
