Main duties of the job
This is a varied, non-patient-facing administration role providing essential back-office support across the division and Modality Practices. You will deliver an efficient administrative service, managing workloads, processing documentation accurately within agreed timescales, and communicating professionally with clinical and non-clinical colleagues.
The role includes supporting meetings across Practices, preparing and managing medical and insurance reports, tracking progress and payments, and coordinating records and documentation. You will also support Practices with complaints administration, patient registrations including GP2GP workflows, and call and recall processes such as test results, long-term condition management, childhood immunisations, and cytology.
The role requires flexibility, initiative, and commitment. You will work resourcefully as part of a wider team to ensure tasks are completed to a high standard in line with procedures, protocols, and service requirements.

JOB DESCRIPTION
Administrator
1. Job Role/Purpose:
· As a member of the central Admin team, provide a high quality, day-to-day administrative support service to enable Modality Practices to function effectively.
· To assist in the provision of general administrative support to the wider team when required.
2. Key Duties & Responsibilities:
· To provide an efficient administrative service supporting all Modality Practices.
· To support the administration of meetings across Practices including organising and arranging meetings, room/venue bookings, arranging catering/refreshments and attending and minuting meetings as required on behalf of the Division.
· To assist clinical staff by preparing medical/insurance and other reports, tracking progress to ensure prompt turnaround and payment where appropriate.
· To support clinical staff with the effective management of medical and insurance reports i.e., sending notes, checking notes, typing reports, tracking payments, requesting records transfers.
· To manage incoming registration requests from central teams and PSA teams including management of GP2GP workflow
· To support the Practices and Informatics team with outstanding call and recall actions including test result workflows linked to LTC management, coordination of childhood imms and cytology administration.
· To support the Practices and Informatics team with the processing of activity claims.
· To accurately record clinical activity on patient records, scan and file documents ensuring quality assurance processes are maintained.
· To support the Division with effective stock ordering, processing all clinical and non-clinical orders in a timely manner.
· To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure.
. To assist with the gathering of statistics and information when required.
· To attend meetings as required and participate in PLT sessions.
· To participate in the induction and training of new team members to ensure they meet their objectives.
· To ensure learning from individually attended training sessions is cascaded to all members of the team.
· To provide cover for members of the central Clinical Support Team during periods of sickness and annual leave.

- In light of national policy and due the needs of the business it may be necessary for the Partnership to alter the opening hours of the practices. This could incorporate different opening hours and weekend working which may affect when you are required to work. The postholder is expected to be flexible and accommodating, following consultation, in terms of any changes to operating times in the future.
