Full job description

Flatpay is one of Europe's fastest-growing fintech companies, now expanding across the UK.

Role: Onboarding & Events Administrator Location: London, White City | 5 days a week in office Reporting to: Head of HR, UK

This is a newly created role sitting at the heart of the Flatpay UK People team. As our Onboarding & Events Administrator, you'll own the operational and experiential backbone of life at Flatpay UK, making sure new starters have everything they need from day one, our events run without a hitch, and the day-to-day keeps moving. You'll work closely with HR, Talent Acquisition, and Facilities, and you'll be the person who makes things happen without being asked twice. As we continue to grow, this role has real scope to expand with us.

Responsibilities

  • Planning and running company events including our Christmas party, summer party, and monthly wrap-up

  • Coordinating our monthly onboarding days end to end

  • Coordinating all internal moments, from weekly team events through to ad hoc socials

  • Supporting monthly connect logistics including room setup, AV, catering, and comms

  • Coordinating with AmWorld on Field Sales starter kit dispatch

  • Managing new starter logistics including equipment, business cards, and ID cards

  • Owning the leaver process from an operational standpoint, including equipment returns and handovers to Facilities

  • Managing meeting room coordination across the office

  • Supporting the People team with day-to-day coordination and ad hoc operational tasks as the business scales

  • Being the go-to person for the practical side of the employee experience

Skills & Attributes

  • Proven experience in event coordination or event management (this is the most important thing)

  • Highly organised with strong attention to detail and the ability to juggle multiple priorities at once

  • A self-starter who takes ownership, follows through, and doesn't need to be chased

  • Comfortable working in a fast-paced, scaling business where things change quickly

  • A warm, proactive communicator who builds relationships easily across teams

  • London-based and happy to be in the office five days a week

Our Values

At Flatpay, how we work matters as much as what we achieve.

  • Happy Humans: We bring energy to our work and create teams people enjoy being part of.

  • No Assholes: We perform at a high level while treating colleagues and customers with respect.

  • It's Our Business, Own It: Everyone takes responsibility and manages their work like it's their own business.

  • Start With No: We challenge ideas, think commercially and focus on what truly creates value.

  • Sky-High Ambitions: We set bold goals and expect people to keep raising the bar.

  • The Best Argument Wins: Titles don't decide outcomes. We debate openly to reach the best decisions.

What's in it for you

  • Medicash EAP from day one: free, confidential support including counselling, 24/7 helplines, and mental health resources

  • Medicash Proactive after probation: cashback on dental, optical, physio, and GP visits, plus discounted gym access at over 3,000 venues across the UK

  • Bupa Select after probation: full private medical insurance including mental health cover

Background & Requirements

  • Proven background in event coordination or events management

  • Experience managing logistics across multiple workstreams simultaneously

  • Comfortable owning processes end to end with minimal oversight

  • Strong communicator with the ability to build trust quickly across different teams

  • London-based with full-time office availability
