Full job description
Mace combines construction expertise with consultancy to unlock potential in every person or project and redefine the boundaries of ambition. Our values shape the way we consult and define the people we want to join us on our journey.
We are seeking an experienced Document Control Lead to oversee and continuously enhance document and information management processes across a major programme environment. This is a key leadership role responsible for ensuring that programme documentation, records and controlled information are managed efficiently, accurately and in compliance with industry standards and organisational requirements.
The successful candidate will lead document control activities, drive best practice information management, manage document control systems and processes, and support stakeholders across the programme to achieve high levels of compliance, quality and efficiency.
This is an excellent opportunity to play a leading role in shaping and delivering document control and information management excellence within a complex, high-profile programme. You will have the opportunity to influence best practice, improve processes and develop a collaborative information management culture while working alongside a diverse and experienced project team.
You’ll be responsible for:
- Developing, implementing and managing the document management strategy, policies and procedures, ensuring alignment with requirements.
- Managing and support a team of Document Controllers and Information Management professionals in the delivery of a high-quality document management service.
- Ensuring the accurate control, distribution, retention and archiving of programme documentation, records and information assets.
- Monitoring compliance with document control procedures through audits, reviews and assurance activities, implementing corrective actions where required.
- Collaborating with system administrators and technical teams to optimise Electronic Document Management System (EDMS) functionality, configuration and user experience.
- Supporting the implementation of information security, data integrity and governance requirements in partnership with relevant stakeholders.
- Driving the development and maintenance of standardised information management processes to improve consistency, efficiency and compliance.
- Overseeing the timely processing, tracking and reporting of programme documentation and associated workflows.
- Delivering training, guidance and coaching to stakeholders on document control and information management processes, systems and best practices.
- Support wider information management objectives and collaborate with cross-functional teams to ensure a consistent and integrated approach.
- Championing a culture of collaboration, continuous improvement and innovation across the programme environment.
You’ll need to have:
- Previous experience in document control, information management or a related discipline.
- Proven experience delivering information management services within large-scale, complex programmes or projects.
- Strong stakeholder engagement and communication skills, with experience influencing and supporting a diverse range of users.
- Experience developing and delivering training programmes and driving process adoption.
- A continuous improvement mindset with a passion for enhancing processes, systems and user experience.
- Good working knowledge of ISO 19650 and information management best practices.
- Experience managing and coordinating multiple stakeholders across complex project or programme delivery environments.
- Familiarity with electronic document management systems (EDMS) and associated information governance frameworks.
Our values
Safety first - Going home safe and well: We champion a safe, diverse and inclusive working environment, understanding the importance of wellbeing in every team.

Mace is an inclusive employer and welcomes interest from a diverse range of candidates. Even if you feel you do not fulfil all the criteria, please apply as you may still be the best candidate for this role or another role within our organisation.
We are also open to discussing part time, flexible, and hybrid working options if suitable with-in the role.
