Role & Responsibilities

The Receptionist role, based in our central Tunbridge Wells office, will provide a professional and welcoming front-of-house service, acting as the first point of contact for visitors, clients, and colleagues. The role is key to creating a positive first impression of the business while supporting the smooth day-to-day operation of the office through effective administration and coordination.

This role is a Maternity Cover role for a 12 month period

Working closely with office management and support teams, you will ensure reception and front-of-house activities are managed efficiently and professionally.

Main duties and responsibilities:

  • Answer all incoming calls in a timely, professional and pleasant manner

  • Meet and greet visitors

  • Provide an efficient first point of contact by managing enquiries, directing queries to the appropriate department, and overseeing the regional inbox.

  • Manage all office deliveries, post, and courier services, ensuring timely receipt and dispatch.

  • Manage meeting room bookings and prepare boardrooms for meetings, including arranging refreshments and catering where required.

  • Adhere to security procedures for Reception areas

  • Maintaining a tidy reception area

  • Generate purchase orders to support overhead expenditure and Customer Care functions

  • Overall responsibility for office administration tasks and provide other appropriate ad hoc duties when required, to meet the needs of other departments

  • The job holder may be requested to undertake other appropriate, ad-hoc duties by the Office Manager or other staff/managers/directors within their knowledge, experience and ability.

Key Skills and Experience:

  • Experience in a Receptionist or Front-of-House role, ideally within a corporate or professional services environment.

  • Professional, friendly, and confident manner with strong customer service skills.

  • Excellent communication skills, both written and verbal.

  • Well-organised with strong attention to detail.

  • Confident using Microsoft Office and general office systems.

  • Reliable, proactive, and able to manage multiple tasks effectively.

  • Ability to work independently and as part of a team.

  • A positive and flexible approach to work.
