Full job description

Job Title: Patient Experience Coordinator

Starting Salary: £27,000 per annum FTE plus Monthly Bonuses (around £2,500 pa FTE)

Experience: Experience in customer facing role is essential, in private healthcare setting desirable

Start Date: June 2026

About The MOLE Clinic

The MOLE Clinic is one of the UK's leading providers of skin cancer screening and mole removal, with clinics across London and the South East. We hold a CQC Good rating, use the latest diagnostic technology, and work with some of the country's most respected dermatologists and plastic surgeons.

Our patients come to us at a vulnerable moment. They may be worried. They deserve a first-class experience from the moment they walk through the door — and that's where you come in.

The Role

As a Patient Experience Coordinator, you are the face of The MOLE Clinic. You set the tone for every patient's visit — from their first phone call to the moment they leave the clinic — and you take personal ownership of the standard of care they receive.

This is a role for someone who understands that exceptional patient experience isn't incidental to a private clinic's success; it's central to it. You'll work closely with the Clinic Manager and Assistant Clinic Manager, keeping daily operations running smoothly while ensuring every patient interaction reflects the professionalism and warmth The MOLE Clinic is known for.

This role suits people who've built their career around delivering genuinely high standards — whether in private healthcare, premium hospitality, or another environment where the quality of the human interaction matters.

What You'll Do

  • Own the patient experience end-to-end — welcoming, guiding, and supporting patients throughout their visit
  • Manage appointment bookings and patient queries by phone, email, and in person
  • Process payments and invoices accurately
  • Maintain clinical records and support stock management
  • Support the clinic management team with day-to-day operations
  • Uphold confidentiality, compliance, and the high standards expected in a CQC-registered clinic

What We're Looking For

We care about attitude as much as experience. The right person instinctively understands that patients in a private healthcare setting expect more — and delivers it without being asked.

Essential:

  • Proven experience in a customer-facing or patient-facing role where standards were high
  • Genuinely warm and professional manner — in person and on the phone
  • Strong organisational skills; you can manage competing priorities without dropping the ball
  • Comfortable with administration, systems, and attention to detail
  • Calm under pressure and solutions-focused

Desirable:

  • Experience in a private clinic, GP practice, or other healthcare environment
  • Familiarity with medical booking or practice management software
  • Proficiency in Microsoft Office

If you're coming from an NHS background and looking to move into private healthcare, you're welcome to apply — but please be aware that the pace, patient expectations, and commercial environment are distinct. We're looking for people who are energised by that difference.

What We Offer

  • Salary: Competitive salary
  • Bonus: Monthly performance bonus (approx. £2,500 per year FTE)
  • Annual leave: 25 days plus bank holidays — and your birthday off
  • Private Medical Insurance from day one
  • Company pension scheme
  • Company sick pay
  • Friends and family discount on treatments
  • Employee referral scheme
  • Eyecare vouchers and annual flu vaccination

Our Culture

We're a growing business in a national expansion phase. We're looking for people who want to grow with us — who bring energy, take ownership, and genuinely care about the patients they serve. Patient Experience Coordinators who demonstrate initiative and leadership have a natural path into senior and management roles as we open new clinics.

How to Apply

Please apply with your CV and a short note explaining why this role appeals to you and what you'd bring to The MOLE Clinic team. Applications without a covering note will not be progressed.

The MOLE Clinic is an equal opportunities employer. We welcome applications from all qualified candidates regardless of background.
